The Surplus Buyer Administrator is responsible for identifying, evaluating, and purchasing surplus inventory, equipment, or materials for resale, reuse, or recycling. This role manages vendor and buyer relationships, maintains accurate records, and ensures compliance with company policies and applicable regulations. The ideal candidate will be detail-oriented, analytical, and have experience in procurement, surplus asset recovery, or inventory management.
* Process and track purchase orders, invoices, and payment requests related to surplus transactions.
* Maintain and organize electronic and physical files for all surplus-related activities, including contracts, quotes, and correspondence.
* Assist in developing and updating internal procedures and guidelines for surplus asset management and compliance.
* Coordinate internal communications and training to ensure departments understand surplus asset procedures.
* Respond to internal and external inquiries regarding surplus items, status updates, and documentation requests.
* Support auditing activities by providing documentation and summaries of surplus asset processes and transactions.
* Utilize ERP, inventory, or asset tracking software to enter, update, and reconcile surplus-related data.
* Monitor deadlines and contract expirations, ensuring timely renewals, close-outs, or disposal actions.
* Assist in drafting and reviewing communications, listings, or marketing materials for surplus items intended for sale.

  • High school diploma or equivalent required; associate's or bachelor's degree in business, supply chain, or related field preferred.
  • 2+ years of experience in purchasing, procurement, inventory management, or asset recovery.
  • Strong negotiation, communication, and interpersonal skills.
  • Proficient in Microsoft Office (Excel, Word, Outlook); experience with ERP systems is a plus.
  • Knowledge of asset disposal laws and environmentally responsible disposal practices is preferred.
  • Ability to work independently and manage multiple priorities.
  • Office environment with occasional visits to warehouses or job sites.
  • Must be able to lift up to 25 lbs and walk through warehouse areas when necessary.
