The Medical Staff Coordinator plans, develops, organizes, and performs administrative duties of the Medical Staff department. Responsibilities include contributing to meeting the Mission and Goals of the organization, meeting requirements of the Medical Staff Bylaws, Joint Commission standards and other applicable federal, state, and local regulatory and/or accrediting agencies. The Medical Staff Coordinator oversees the needs of the Medical Director.

Schedule: Full-Time Monday - Friday, 40 hours a week.
Hybrid/in-person up to 2x a week.
Job Duties & Responsibilities: Contribute to meeting Organization and Medical Staff goals and Joint Commission and government regulations.
- Maintain current knowledge of Joint Commission and Medical Staff standards, state, and federal requirements.
- Assimilate and disseminate information, as noted, to the appropriate parties.
- Maintain current master copy and knowledge of the Medical Staff Bylaws, rules, and regulations.
- Assist in revision of the Medical Staff Bylaws.
- Notify the Medical Staff and ancillary departments of changes to the Bylaws, rules, and regulation changes.
- Participate in physician recruitment activities. Provide timely communication to potential candidates, keeping medical directors and administration informed. Coordinates site visits, tours, and schedule medical staff orientation.
- Process applications.
- Review the application for completeness and compliance with Medical Staff Bylaws.
- Assemble verified information and prepare credential files for presentation to the service chiefs and Credentials Committee.
- Assure application follow-through to appropriate committee (Medical Staff Executive Committee, Governing Board).
- Assist in state licensure and United States Drug Enforcement Administration (DEA) licensure process for medical staff to practice in states where Rogers maintains regional clinics.
- Assist provider with necessary steps to obtain state licensure including application completion and all steps necessary for licensure. Responsible for oversight of entire process including follow up with state boards to determine when provider will be licensed.
- Maintain up-to-date spreadsheet of medical staff licensed in each state and expiration dates.
- Assist provider to obtain DEA licensure in a state, if requested by medical director or Chief Operating Officer (COO), once provider has received state license.
- Maintain spreadsheet of Continuing Medical Education needs for each state and each type of provider.
- Maintain a schedule of expiration of licenses, insurance and DE
- Notify provider in advance of expiration.
- Maintain files with copies of licenses for compliance with Medical Staff Bylaws, Joint Commission and other regulatory entities. Update credentialing software with provider information.
- Coordinate the Medical Staff credentialing process to ensure all individuals with clinical privileges provide services within the scope of their training, licensure and individual privileges granted.
Medical Staff meetings and maintains master calendar(s).
- Properly notifies organization departments of meeting needs and activities.
- Attend Area Medical Staff Meetings.
- Prepare agenda for each meeting for review and approval by the committee chairperson prior to the meeting.
- Record meeting minutes.
- Initiate follow-up action as needed.
- Prepare reports as requested.
- Maintain a current Medical Staff directory.
- Prepare and distribute provider alerts and time away notices.
- Record PT
- Assist with coordinate coverage (in-person and telemedicine) for provider absences.
- Maintain an ongoing system for re-appointing staff members established by the Medical Staff Bylaws, Joint Commission, and state specific standards.
- Notify each staff member prior to the individual's term of appointment of necessity to complete and return reappointment material.
- Process applications as indicated in the Medical Staff Bylaws.
- Provide follow-up with the staff member and oversee the reappointment application through the necessary committees.
- Accept and process through the appropriate Medical Staff committees all requests for additions/deletions of privileges and/or changes in staff status.
- Coordinate medical staff engagement activities.
- Provide executive assistance to medical director.
Promote department goals and the mission of Rogers Behavioral Health.
- Communicate goals to fellow staff members.
- Demonstrate measurable goal achievement.
- Maintain department policies and procedures.
- Include requirements and guidelines from external agencies (individual states, Joint Commission).
- Educate new staff regarding regulations or requirements of those functions that relate to their areas or departments, as directed.
Demonstrate understanding of Joint Commission and other regulatory agency compliance regulations.
- Involve self in the learning and the application of standards relevant to the Medical Staff department.
- Participate in in-services/seminars and other meetings to increase involvement and awareness of regulations.
- Involve self in the education of other disciplines regarding the Medical Staff department.
Participate in the Rogers Operating System (ROS) program.
- Maintain familiarity in the ROS process.
- Apply the ROS model and tools to department functions.
- Participate in and/or create ROS teams that lead to improvement.
- Educate and involve self in Rogers and department ROS plans.
Conduct self in a professional manner.
- Demonstrate organizational skills that promote timely response to all inquiries and to project completion.
- Communicate with all individuals in a positive and professional manner.
- Attempt to resolve individual issues with peers in a positive, calm manner, with a focus on solution.

- Familiar with the Microsoft Office Suite.
- Must be a notary public or be eligible to be a notary public and complete process in first 30 days of employment.
Education/Training Requirements:
- Bachelor's degree or equivalent experience of administrative and medical staff coordinator.
- Administrative skills, including computer/word processing and transcription, are required.
- Experience in health care and credentialing of medical staff preferred.
