Wisconsin Early Childhood Association is a statewide, nonprofit association serving as a professional association whose members care for and educate Wisconsin's children, aged birth to eight. We are affiliated with the National Association for the Education of Young Children.

Wisconsin Early Childhood Association works to build a foundation for a lifetime of learning for Wisconsin's young children by promoting excellence in early education programs, supporting professionalism in the early childhood workforce, and calling for greater investment in quality early child care. WECA's mission is to meet the professional needs of adults who nurture and teach Wisconsin's young children through a rich continuum of services.

The Wisconsin Early Childhood Association TEACH program is looking for an Administrative Assistant. The TEACH Administrative Assistant works in collaboration with the TEACH Early Childhood Wisconsin program staff team (which includes ECE Higher Education & Career Development teams) and is responsible for supporting the day-to-day efforts of these teams, including facilitating scholarship procedures and meetings coordination

Experience working as an Administrative Assistant is required for this position.

Spanish/English bilingual candidates are encouraged to apply for this position.

This is a hybrid position that may require you to work in the Fitchburg office a couple of days as week.

Living in the state of Wisconsin is required for this position.

Duties & Responsibilities:

  • Fulfill receptionist and general administrative duties for these teams, such as mail distribution, phone coverage, etc. Perform hub navigation support for lead hub navigator.
  • Facilitate scholarship applications intake procedures and follow up using FileMaker Pro and Microsoft Lists.
  • Manage scholarship applicant files.
  • Support scholarship counselors with processing financial claims submitted by scholarship recipients and sponsoring centers
  • Create and run monthly and semester reports from FMP database to support scholarship processes and activity.
  • Complete team meeting and committee meeting minutes, and disseminate edited minutes as requested
  • Assist with Higher Education and Career Development work as needed
  • Participate in TEACH Early Childhood Wisconsin Program and overall WECA functions as needed
  • Assist with TEACH project work as needed

Education & Required Skills:

  • High school diploma or equivalent and coursework in business or accounting. 1 to 3 years in office administration
  • Experience with computer, data entry, and word processing, specifically Word and Excel. FileMaker Pro experience desirable
  • Ability to communicate effectively on the phone
  • Ability to communicate effectively in writing
  • Ability to work independently, take initiative, problem solve, and attend to multiple tasks
  • Ability to attend to detail-oriented work, identify needs, and contribute to creative solutions
  • Knowledge of the child care and early care and education system and workforce in Wisconsin desirable
