Compensation: The expected pay rate for this position is $25.00 - $33.00 per hour. The actual pay rate offered may vary on multiple factors including, but not limited to, experience, knowledge, skills, certifications and/or location.

POSITION SUMMARY:

The Parts and Service Administrator at AES (Alvest Equipment Services) holds a critical position responsible for managing supply chain operations and administrative tasks, including those specific to Boeing Dreamlifter Operations. This role entails overseeing purchasing, invoicing, and spare parts inventory management to support air-side maintenance shop activities ensuring efficient GSE maintenance operations. The Parts and Service Administrator collaborates closely with internal teams and external vendors, ensuring the timely procurement of spare parts and equipment required for Boeing Dreamlifter GSE. This role requires meticulous attention to detail, strong organizational skills, and the ability to uphold high standards of service delivery while representing the company's core principles in all customer interactions.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Maintenance Activity Support:

  • Assist in generating work orders for technicians, ensuring accurate documentation of equipment service requirements and available inventory for upcoming assignments.
  • Process completed work orders efficiently, verifying completed tasks and updating service records accordingly.
  • Collaborate in planning workloads based on equipment needs, ensuring optimal resource allocation and timely completion of maintenance tasks.
  • Perform data entry tasks in the system to maintain accurate equipment service records and labor logs.
  • Assist in generating reports and collecting relevant data as needed to support maintenance activities.



Parts Management:

Conduct research on parts vendors and establish local vendor relationships when necessary, ensuring timely and cost-effective procurement of required parts.

  • Manage inventory functions, including shipping, receiving, and location control, to maintain accurate stock levels and facilitate efficient parts management.
  • Conduct cycle counts to ensure inventory accuracy and identify discrepancies for resolution.
  • Determine and maintain appropriate inventory stock levels based on equipment utilization and upcoming work orders, ensuring availability of necessary parts.
  • Track and order parts for ground support equipment, coordinating with vendors and internal stakeholders to meet operational requirements.



Administration:

  • Aid with invoicing and office management tasks as directed by the supervisor or manager, ensuring accurate and timely completion of administrative duties.
  • Perform data entry tasks to support various administrative functions, maintaining accurate records and documentation as required.
  • Collaborate with team members and stakeholders to streamline administrative processes and enhance overall operational efficiency.



QUALIFICATIONS AND EXPERIENCE:

  • High School Diploma or equivalent.
  • 2 years of related experience and a broad knowledge of ERP systems.
  • 2 years of purchasing experience.
  • Inventory management knowledge preferred but not required.



OTHER SKILLS AND ABILITIES:

  • Proficiency in Microsoft Office products (Excel, Word, PowerPoint).
  • Exceptional integrity and ethics required in order to maintain confidential information.
  • High attention to detail, consistency, and accuracy in performing job-related tasks.
  • Ability to work both as a team and/or independently
  • Strong written and verbal communication skills, ability to communicate effectively and professionally.
  • Good organization, time management and prioritization.
  • Self-starter with desire to learn and thrive in a fast-paced environment.
  • Must be able to read and write the English language.
  • Must have a valid driver's license.Legally authorized to work in the United States.
  • No travel restrictions.
