Position Overview
This position serves as the assistant to the Assistant Dean for College Undergraduate Academic Services in the College of Liberal Arts and Sciences, providing administrative support in a variety of areas including, but not limited to, information research and report creation, all aspects of meeting coordination; preparation of petitions for review; drafting of written communications on behalf of the assistant dean; and working with the assistant dean as a liaison to College departmental faculty and staff. In addition, this role serves as the contact person for all students, faculty, staff, and deans in all matters related to academic misconduct in the College, working closely with the assistant dean to ensure due process for all parties involved. Maintains an extensive data base of student petitions and student academic misconduct charges for cases filed in the College and provides regular reporting of all charges via Maxient to the Provost on behalf of the College. Acts as Scheduling Officer for all Liberal Arts and Sciences (LA&S) courses.

Job Description
25% - Assistant to the Assistant Dean for College Undergraduate Academic Services
  • Provides administrative support for the assistant dean in all areas as needed, including, but not limited to, meeting organization, scheduling, room reservations, catering, speaking arrangements, invitations, meeting materials and agenda preparation. Attends meetings and takes minutes. Drafts written communications on behalf of the assistant dean; and working with the assistant dean as a liaison to College departmental faculty and staff, as well as students and families. Assists with all special projects, conducting research as needed, and provides preparatory reports, and other assistance. Handles sensitive and highly confidential information, acting with discretion on the assistant dean's behalf.
  • Responsible for all administrative aspects of the hiring process, including posting positions, writing and submitting ad copy, organizing search committee, and coordinating and conducting interviews for positions in College Undergraduate Academic Services.
  • Provides logistical support for outreach events coordinated by College Undergraduate Academic Services for all undergraduate students, faculty and staff. This includes multiple student events as well as faculty and staff trainings throughout the year. Working with the Union and others, is responsible for site selection, reservations, catering, guest speaker coordination, and securing participation of all College departments for the event.
25% - Administrative Support for College Petition Process
  • Receives submitted petitions from all students seeking exceptions to College policy, or to university policy which require College review and support. Reviews materials to ensure all forms and supporting documents are included. Pulls student records information for student and compiles petition packet for review by assistant dean. Communicates with students and faculty regarding any incomplete documentation as well as petition outcomes (~600 per year). Works closely with coordinator of academic standards to ensure changes to students' academic standing if petition outcome impacts. Responsible for all communication related to College and university policy petitions. Maintains data base of submitted petitions and final outcomes. Provides regular reports on all petitions and their outcomes to ensure consistent application of exceptions. Consults with University Governance to ensure ongoing alignment with exception decisions at the university-level.
25% - Academic Misconduct Coordination
  • Provides support to the Assistant Dean for College Undergraduate Academic Services, in all matters related to the administration of Academic Misconduct Policy and Procedures. Serves as the main initial information resource for all College matters related to academic misconduct, providing consultation on policy and procedure to faculty, staff, students, and families. Maintains data base of student misconduct charges and resulting sanctions for cases filed in the College. Notifies faculty, students and administrators about appointments, hearing schedules and results. Coordinates all College-level academic misconduct hearings, including hearing scheduling and securing of faculty hearing panelists.
10% - Scheduling Officer for LA&S Courses
  • Acts as scheduling officer for all LA&S courses, working with instructors, departments, and the Office of the University Registrar. Provides permission numbers for instructors. Works with Class Scheduling through the University Registrar to update, add or delete courses.
10% - Administrative Support for College Level Grade Appeals Process
  • Provides support to the Assistant Dean for College Undergraduate Academic Services in all matters related to the administration of College Level Grade Appeals Policies. Secures hearing panel, provides information to hearing panel, schedules hearings, and assists in all communication related to outcome.
5% - Other duties as assigned
  • Other projects as assigned by the assistant dean.

Required Qualifications
  1. High School diploma or completion of G.E.D. equivalency.
  2. Four years experience in skilled clerical, accounting, auditing and/or administrative support work, including one year of experience with basic office computer systems.
  3. Previous work experience that required strong interpersonal skills, being detail oriented, and the ability to work effectively as part of a team, as evidenced by application materials.
  4. Work experience that required strong organizational and time management, as evidenced by application materials.
  5. Strong written and interpersonal communication skills, as evidenced by application materials.

Preferred Qualifications
  1. Bachelor's degree.
  2. One year experience in a direct support role for administrator, as evidenced by application materials.
  3. Previous work experience at a university or other higher education institution, as evidenced by application materials.
  4. Previous work experience that required the use of KU and College policies, procedures, and requirements, as evidenced by application materials.
  5. Previous experience that required expertise in Word, Access, FileMaker Pro, Perceptive Content and Excel, as evidenced by application materials.
