Creative Operations Team
This is a 12-month, full-time (40 hours/week), hybrid contract role located in Cupertino, CA.
Summary
We are seeking a highly organized, resourceful, and adaptable Administrative Assistant to support several Senior Managers within our Creative Operations organization. This individual will play a key role in keeping operations running smoothly across multiple teams and time zones. The ideal candidate is a proactive team player with a passion for supporting creative teams and senior leadership in a fast-paced, high-tech environment.
Our Ideal Candidate
-4+ years of experience supporting Senior Managers or cross-functional teams in an administrative or coordination capacity
-Passion for supporting creative operations with a strong foundation in scheduling, coordination, and communication
-Proficient in calendar management tools (e.g., Google Calendar, Outlook), expense reporting systems, and video conferencing platforms
-Familiar with working across distributed teams and international time zones
-Skilled in collaborating with cross-functional teams and executive-level stakeholders
-Able to work independently and manage multiple shifting priorities simultaneously
-Flexible and adaptable to changing schedules, timelines, and stakeholder needs
-Strong written and verbal communication skills with exceptional attention to detail
-Experience planning team events, meetings, and offsites a plus
Job Description
In this role, you will support several senior leaders and their teams by managing calendars, coordinating meetings, arranging travel, and organizing team communications.
You'll partner with cross-functional teams across Cupertino, Culver City, New York, EMEA, and APAC regions to drive effective scheduling, meeting planning, and information flow. This includes:
Heavy calendar management and schedule prioritization across multiple time zones
Adjusting and rescheduling meetings in real time due to last-minute conflicts
Coordinating with other executive assistants to arrange leadership meetings
Booking travel and submitting expense reports
Supporting select meetings by note-taking and tracking action items
Assisting with logistics for on-site team meetings, events, and offsites
Coordinating with local site teams and corporate events teams
Supporting internal communications and team updates
You will also support the broader administrative team by collaborating and backing each other up as needed, contributing to the overall success and experience of the Creative Operations team.
Education and Experience
-Bachelor's degree or equivalent practical experience
-Background in administrative support for creative or high-tech teams preferred
-Experience working with distributed and international teams

This opportunity is located in Cupertino, CA, and requires hybrid work (on-site presence as needed).
The pay for this W-2 position ranges from $55.00 - $58.00 per hour.
