Position Overview

The Events Specialist supports the planning and execution of OCHIN and its subsidiaries internal and member-facing events that advance engagement, knowledge sharing, and community building across our collaborative. This role also coordinates sponsorship activities to support events and programming. This individual is well-organized, flexible, adaptable, and resourceful.

This is a matrixed position, reporting to OCHIN's Manager of Events for OCHIN-related events and consulting with OSIS' Chief Operating Officer for OSIS-related events.

Essential Duties

Event Support and Execution:

  • Assist with the planning, logistics, coordination, and execution of a wide range of events, including in-person and virtual gatherings for members and staff.
  • Support key aspects of event planning, including timelines, registration processes, communications, run-of-show documents, and logistical support.
  • Develop and maintain event documentation, including schedules, checklists, and contingency plans.
  • Select and secure venues that meet the specific needs and vision of each event.
  • Coordinate internal team involvement, including speakers, facilitators, and technical staff.
  • Ensure all events are executed smoothly and consistently reflect OCHIN's mission, values, and brand.
  • Track and analyze event performance metrics, including attendance, engagement, and satisfaction.
  • Serve as a point of contact for member organizations participating in events (e.g., speakers and exhibitors).

External Sponsorship Coordination:

  • Identify, vet, and coordinate sponsorship opportunities that align with OCHIN's strategic priorities and values.
  • Track and manage sponsorship deliverables, including sponsor communications, event attendance, exhibit hall logistics, and branding requirements.
  • Collect and summarize feedback from events and attendees to inform future sponsorship strategies and improvements

Conference Attendance Management:

  • Assist with OCHIN's internal conference attendance process, including coordinating staff participation and supporting the approval workflow.
  • Collect post-conference feedback and lessons learned to support continuous improvement in conference engagement and impact.

Other Duties:

  • Assist with projects and other work as assigned by leadership.
Requirements
  • Minimum of 3 years of experience in large event coordination
  • Associate degree in applicable major preferred
  • Talent in organizing, prioritizing, and multitasking; thrives under pressure to meet deadlines
  • Proficient communication skills: the ability to create clear, concise content that resonates with a variety of audiences
  • Strong administrative and organizational skills
  • Experience with Adobe Acrobat, Microsoft programs, and Zoom
  • Experience with Cvent event management software preferred
  • Project management experience preferred

COVID-19 Vaccination Requirement

Base Pay Overview

The typical offer range for this role is minimum to midpoint (min $63,843 - mid $-79,804), with the midpoint representing the average pay in a national market scope for this position. Please keep in mind that this range represents the pay range for all positions in the job grade within which this position falls. The actual salary offer will consider a wide range of factors directly relevant to this position, including, but not limited to, skills, knowledge, training, responsibility, and experience, as well as internal equity and alignment with market data.
