The Front Desk Administrative Assistant on-site at 580 Howard Avenue, Somerset, NJ plays a pivotal role in ensuring smooth day-to-day operations by managing front desk duties and providing key administrative support. This includes overseeing visitor checkins, managing badge creation and cancellations, sorting and distributing incoming mail, and coordinating with vendors for building services. The role also supports leadership teams by assisting with conference room bookings and managing server room access. Additionally, the position involves responding to customer inquiries and assisting with various crossdepartmental tasks and projects. This role is integral to maintaining efficient communication, organization, and operational flow within the organization and across sister companies.
Responsibilities
Manage all front desk activities at 580 Howard Avenue Somerset, NJ, ensuring smooth operations between 8:30 AM and 5:00 PM. * Assist with signing in visitors using the Lobby Guard system, maintaining accurate records of all on-site guests, and ensuring proper check-out once guests depart.
* Oversee the entire badge creation process for US Operations and sister companies of WDH, including handling requests for badge cancellations for departed employees.
* Sort and categorize daily incoming mail, distributing it to relevant departments (Oticon, Oticon Medical, Accounts Payables/Receivables, Hearing Life).
* Notify Demant employees of guest arrivals via Teams and coordinate food deliveries for employees.
* Provide administrative assistance to WDH CE and Facilities leadership, coordinating efforts with internal partners and supporting additional tasks as needed.
* Support Facilities by making calls to vendors as necessary and assisting with site requests involving building services (e.g., cleaners, holiday decorations, daily fruit delivery).
* Manage access to the server room, tracking in/out traffic, and generate monthly reports. Additionally, manage reports related to temporary employee access.
* Assist Facilities with conference room reservations, ensuring all meetings are accurately scheduled and organized on-site at 580.
* Oversee the incomplete daily fax report and assist with follow-up calls to customers regarding blank or error faxes.
* Assist with additional tasks or projects as assigned by the manager.
* Provide support for internal and external survey follow-ups as needed.
* Assist US Operations, DGS Denmark, SPS Poland, and other sister companies within Demant with arranging travel coordination, including booking hotels, transportation, flights, and car rentals.
Qualifications
- Minimum High School Diploma or GED required.
- Minimum 1 year of Customer Service experience
- Teamwork, flexibility, and reliability required.
- Pleasant, friendly, professional manners, excellent verbal, and written communication skills, including excellent listening, speech, telephone voice - must speak clearly, and use good grammar, with an adequate vocabulary.
- Must be able to manage stress, pressure, have organizational skills, and be meticulous with excellent follow up skills.
- Requires a cheerful outlook, ability to multitask, ability to work independently or as part of a team and have a genuine interest in people and desire to help.
- Experience working in a challenging environment.
- Experience working with Outlook, Microsoft Word, MS Teams, and Microsoft Excel desired.
