Job DescriptionThe Instructional Assistant role is a multi-faceted position that provides essential support across TSTC departments and student services. This role combines administrative support with instructional coordination, ensuring the seamless operation of office tasks while advocating for student success from application through graduation. The Instructional Assistant will be responsible for managing schedules, handling correspondence, supporting office operations, advising students, and ensuring course sequencing. The position reports to a front-line manager and works collaboratively with faculty, staff, and leadership to support departmental goals, maintain records, and enhance both student and program outcomes.

Essential Functions:

  • Demonstrate TSTC Core Values of Excellence, Accountability, Service, and Integrity with internal and external stakeholders, students, and the community.
  • Provide administrative support for departmental tasks, including document preparation, data entry, and file management.
  • Manage complex schedules, handle incoming and outgoing correspondence, and support office operations while maintaining professionalism and confidentiality.
  • Assist in scheduling meetings, coordinating calendar entries, and preparing travel arrangements for departmental staff.
  • Maintain and organize electronic and paper files, adhering to record retention requirements.
  • Compile data for routine and special reports, using MS Office applications to create documents, spreadsheets, and presentations.
  • Support the advisement and success of students by assisting with program inquiries, recruitment, and course sequencing.
  • Coordinate logistics for advising and registration, ensuring proper sequencing of courses for new and current students.
  • Provide exemplary customer service to students, staff, and faculty, verifying application packets and coordinating student information sessions.
  • Assist with orientation and training on various computer and social media applications within Student Learning.
  • Collaborate with leadership to prepare reports on retention, persistence, recruiting, dual enrollment, and placement.
  • Perform other related duties as assigned.

Education/Experience/Knowledge/Skills:

  • Education: High school diploma or equivalent; some college coursework preferred.
  • Intermediate proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook).
  • Ability to manage complex schedules and prepare travel arrangements with supervision.
  • Excellent organizational and time-management skills.
  • Superior written and verbal communication skills.
  • Ability to work independently and make informed decisions related to office operations.
  • Ability to work effectively in a team environment.

This role is integral to both the administrative efficiency of the office and the academic success of TSTC students, ensuring a balanced focus on supporting operational needs and fostering a culture of student care.
