Essential Duties and Responsibilities
The primary purposes of the Business Officer I are to 1) Administer and manage all departmental program budgets and reconciliations for 70+ funds and 2) Promote and ensure fiscal responsibility and compliance among education abroad programming.
Responsibilities related to each of these primary purposes include, but are not limited to:

1. Administer and manage all departmental program budgets and reconciliations:

  • Manage all departmental financial affairs;
  • Facilitate and manage departmental financial resources that are state-appropriated, foundation, revenue, trust/auxiliary student revenue and refunds, contracts and grants, receipt generated, and agency-awarded;
  • Process all payments and expected expenditures;
  • Provide data-driven financial projections using past trends and anticipated needs;
  • Execute all aspects of budget management, from daily transaction processing to complex financial reports and database creation;
  • Reconcile all departmental P-Card and T&E Card transactions;
  • Manage the OIP Touchnet Store and its operations;
  • Maintain departmental procedural and policy manuals related to finances;
  • Ensure departmental compliance with University, State, and Federal regulations;
  • Manage departmental travel and expense reimbursements;
  • Provide financial and fiscal responsibility advice to OIP unit leads;
  • Provide financial data to the Assistant Vice Provost for International Programs on a quarterly basis and as requested;
  • Maintain a Business Officer Manual for the Office of International Programs.


2. Ensure fiscal responsibility and compliance among education abroad programming

  • Create resources for faculty/staff who are proposing, designing, and leading education abroad programs;
  • Provide in-person and virtual trainings for faculty/staff who are proposing, designing, and leading education abroad programs;
  • Facilitate and ensure compliance with University, State, and Federal regulations related to financial aspects of education abroad programming, including reimbursements
  • Support and advise Education Abroad staff on relevant University, State, and Federal regulations related to financial aspects of education abroad programming, including reimbursements;
  • Oversee student financial aid reporting and cost of attendance reporting in regards to study abroad participation;
  • Support the development and delivery of workshops and advising to students on the financial aspects of education abroad;
  • Oversee accuracy of student billing, refunds, and exchange student stipends;
  • Maintain Education Abroad funds.
