Position Overview
The Office of the University Registrar reports to the Vice Provost for Enrollment Management which includes the following functional units: Office of Undergraduate Admissions, Financial Aid and Scholarships, Student Information Systems and the Office of the University Registrar.
The Office of the University Registrar (OUR) is responsible for catalog and course scheduling, room reservations, student enrollment, tuition and fee assessment, production and maintenance of the academic record including the official academic transcript, enrollment certification, graduation and diploma production.
The Enrollment and Records Coordinator oversees services supporting enrollment, and academic records by working collaboratively with academic units, student services, and advising teams. The position ensures compliance with institutional, state, and federal policies and leads the coordination of data collection, analysis, and reporting for ongoing assessment and improvement of enrollment-related programs. The Enrollment and Records Coordinator represents the Office of the University Registrar in cross-campus collaborations and maintains professional relationships with university departments. The manager develops and delivers training for university staff on student records and enrollment policies and functions, and reviews processes to recommend improvements for greater efficiency and student support.
Job Description
60% - Student Services Program Coordination
- Manages services related to student enrollment and academic records for critical student populations including transfer, online, adult learner, graduate, and satellite campus students.
- Serves as a central point of contact and resolution for complex enrollment and records issues escalated from student services, academic advising, and departmental staff. Works with multiple university departments to resolve complex issues including IT, Student Life Cycle Technology, Student Accounts Receivables, Faculty Governance, Admissions, etc.
- Collaborates with leadership teams across Academic Success and Enrollment Management to support retention and graduation initiatives. Provides reports as needed for leadership teams for all initiatives.
- Ensures enrollment services align with and support timely student progression and program completion.
- Maintains current knowledge of policies and procedures impacting enrollment and records to ensure compliance and effective advising.
25% - Program Evaluation & Training
- Collects, analyzes, and reports data on enrollment services to identify trends, support decision-making, and recommend improvements for student and staff experience.
- Develops and delivers training sessions to staff and campus partners on enrollment and student records procedures.
- Collaborates with reporting and technology teams to ensure data accuracy and transparency across platforms.
- Primary OUR contact for the development and implementation of the KU Planner tool (Stellic).
10% - Leadership
- Participates in university committees, working groups, and initiatives to align student services with institutional goals.
- Establishes and maintains collaborative relationships with campus departments to ensure seamless student support.
- Leads student service team members or project groups as needed.
- Contributes to departmental planning, resource allocation, and service delivery strategy.
- Engages in ongoing professional development to remain current with best practices in student services and enrollment management.
5% - Other duties as assigned
Required Qualifications
- Bachelor's degree and one (1) year of related experience OR an Associate's degree plus two (2) years related experience.
- Effective written communication skills as indicated by application materials.
- Three (3) years of experience providing client or stakeholder support in a service-oriented environment.
- Three (3) years of experience in a role requiring effective management of multiple tasks, priorities, or concurrent projects.
Preferred Qualifications
- Demonstrated experience working with student information systems such as PeopleSoft as evidenced by application materials.
- Prior experience with student payment services or billing.
- Prior experience with financial aid or scholarship awards.
- Prior experience with student records, FERPA compliance, or registrar processes.
