Posting Summary
Rutgers, The State University of New Jersey, is seeking a Business Assistant I for the School of Communication and Information (SC&I) - Dean's Office. Under the supervision of the Business Manager, the Business Assistant I provides a full range of administrative support for the Business Office.
Among the key duties of this position are the following:

  • Coordinates financial and administrative activities to support unit goals, maintain data to ensure accurate records, and process transactions.
  • Maintains financial spreadsheets and reports, which include inputting daily transactions, adjustments, payroll amounts, time and labor, preparing documents, purchasing, cash transmittals, expense reports, and journal entries.
  • Serves as an administrator of human resources transaction processing, including pre-employment screening, hiring, and data entry in HCM.
  • Assists the business office management team with audits and reviews to ensure records follow established procedures, university regulations, and governing agreements.

Qualifications


Minimum Education and Experience

  • A Bachelor's degree in accounting, finance, business administration, or a related field or an equivalent combination of education and/or experience demonstrating knowledge and understanding of business office practices.
  • Two years of relevant experience in financial administration, business operations, or program coordination.

Certifications/Licenses
Required Knowledge, Skills, and Abilities

  • Computer fluency, especially familiarity with spreadsheet and database software.
  • A high level of organizational skills, excellent communication skills, and strong customer service orientation.

Preferred Qualifications

  • Knowledge of higher education practices.
  • Familiarity with some online procurement and human resources systems, expense reporting systems, and other software and systems commonly used in higher education.

  • This position works regularly with the following tools and systems:


- Desktop and laptop computers
- Word processing, database, and spreadsheet applications
- University web applications
- School web applications
- Office machines such as copiers, faxes, and printers
Physical Demands and Work Environment
  • In participating in event management and office organization, this position will be required to lift boxes (up to 25 pounds) and move mobile furniture such as tables on wheels or folding chairs.
