Event & Conference Services
Event & Conference Services is the University of Maryland Baltimore County's (UMBC) full-service event planning support team, and a one-stop-shop for scheduling event spaces and resources on the UMBC campus. We are dedicated to delivering high-quality event services and professional customer service to our clients.
Position Overview:
The Event Services Coordinator plays a crucial role in the successful execution of a wide range of university events, from academic conferences, to student club meetings and social gatherings, and external facility rentals. This position requires a highly organized and detail-oriented individual with excellent customer service skills and the ability to thrive in a fast-paced environment. The Coordinator will be responsible for coordinating all aspects of event logistics, ensuring smooth operations, and exceeding the expectations of event organizers and attendees.
Responsibilities:
Event Coordination & Logistics
- Serve as the primary point of contact for event organizers, providing guidance and support throughout the entire event planning process.

Conduct thorough event needs assessments, including identifying logistical requirements such as room reservations, equipment rentals, catering, audiovisual support, and staffing.
- Coordinate with internal and external vendors, including caterers, audiovisual technicians, security personnel, and transportation providers.
- Oversee event setup and breakdown, ensuring compliance with university policies and safety regulations.
Customer Service
- Build and maintain strong relationships with event organizers, faculty, staff, students, and external clients.
- Actively seek feedback from event organizers and attendees to identify areas for improvement and enhance the overall event experience.
Administrative Support
- Maintain accurate records of all events, including contracts, correspondence, and event evaluations
- May supervise student works or event staff
Required Minimum Qualifications:
- Bachelor's Degree
- Two years of experience in event planning and management, preferably in a higher education setting
- Ability to work evenings and weekends as needed
Preferred Qualifications:
- Bachelor's Degree in Event Management, Hospitality Management, or a related field preferred
- Proven ability to manage multiple projects simultaneously and meet tight deadlines
- Excellent organizational, time management, and problem-solving skills.
- Strong attention to detail and accuracy
- Exceptional customer service and interpersonal communication skills.
- Proficiency in Google software Suite and event management software (e.g., 25Live, Social Tables).
- Ability to work independently and as part of a team.
