Description

Simmons Cancer Institute at SIU needs assistance with its trademark fundraising gala, Denim & Diamonds, scheduled for fall. The premier event has 625-650 in attendance and raising more than $300,000 annually for cancer research at SCI. The individual would be responsible for tracking incoming funds after the initial contact and managing the check-in and check-out areas at this major event. These three areas are the most important contacts we have with our donors and can make the events a success or a failure. The individual would work with the manager from the initial completion of foundation paperwork and assist with questions for reconciling the events afterward.


Examples of Duties

SCI Extra Help Fundraising Accounting/Training Duties:

1)Denim & Diamonds
a. Assist with event calendar & task deadlines
b. Assist with foundation documents for mailing lists for sponsorships, Gift-In-Kinds (GIKs), event invitation including review and combination of mailing list
c. Assist in management of Greater Giving/Auction Pay: This individual would be the assistant database administrator, organizing all data entry including on-site event set up, including check-in and check-out for sponsors and guests, payment tracking for silent and live auctions, raffles and tickets, recording event sponsors, guests, GIKs, auction packages, dinner reservations, and table assignments. Manage Registration and Auction Check out area during the event which includes managing volunteers and coordinating with Electronic Bidding vendor employees working at the event, as well as tracking raffle sales. Individual will also assist with reconciling funds after the event and submitting funds to SIU Foundation
d. Work in collaboration with Auction Committee and GIK procurement including the management of online application processes required by some auction item donors. Individual would also coordinate the physical location of the donated items. Other duties include combining various items into "packages" to create more attractive auction bundles and increase bidding on items. Individual also coordinates picking up items after the event and ensuring the correct item is delivered to the purchaser.

Qualifications

  1. High school diploma or equivalent.
  2. Two (2) years (24 months) of work experience comparable to the third level of this series.
