The Port of Portland is Hiring for a dynamic Volunteer Coordinator Who we are: The Port of Portland is a gateway to the globe. Your Role: We are seeking an individual to provide day to day operational support of the PDX Volunteer Information Program, which engages upwards of 140 community volunteers in providing wayfinding and information to passengers at PDX. This position coordinates volunteers in a dynamic and ever-changing environment. Duties include supporting volunteer recruitment, scheduling, reporting, record retention, equipment maintenance and requisition of operating supplies. This position maintains professional relationships with the volunteers. This position works on site but is eligible for occasional remote work if prearranged and with a business need.

Essential Job Duties
-
Provides on-site volunteer supervision, support, administration, communication, recruitment and orientation support.
- Greets, stewards, and is available to on-site volunteers to support them in their role of providing information and wayfinding to passengers
- Maintains familiarity with and ability to update digital resources utilized by volunteers.
- Coordinates and maintains VIP room, Information Booth, and all volunteer assignment supplies, including wayfinding materials, and electronic devices.
- Works with VIP Program Manager to implement strategic plan for PDX Volunteer Program
- Produces a weekly VIP Newsletter in collaboration with Volunteer Manager
- Schedules and coordinates onboarding process (information session, interviews, references, orientation sessions, mentor sessions, mentor matching), uniform distribution.
- Supports the recruitment and training of volunteers; maintain waitlist and responds to emails/inquiries. Coordinates info session, interview scheduling, tracking of new recruits, coordinates orientation, recruit's mentors, matches mentors and mentees.
- Supports the Volunteer Manager in the coordination of Vogistics volunteer management software with skill-based volunteer.
- Coordinate schedules with Volunteer Manager for VIP booths and other locations as needed to support day-to-day operations of Volunteer Information Program (VIP).
- Communicates with ABM regarding VIP staffing in overlapping roles, e.g. FIS.
- Monitors volunteer assignments and receives requests/comments.
- Responsible for administrative paperwork including day passes, parking coupons, and parking access cards.
- Supports volunteer recognition campaigns and initiatives, such as National Volunteer Month, volunteer meetings and special events.
- Assists Volunteer Manager with special projects as needed, and performs other duties as assigned.
- Supports Emergency Plan Operations by maintaining a list of volunteers willing to assist in emergency situations, including the Family Assistance Plan (FAP)
- Responds to requests for volunteer assistance in other Aviation departments and events.

Minimum Qualifications
-
Education and Experience required for this role.
- 3 - 5+ years of Progressively responsible work experience including customer contact, supervisory, and/or support service in volunteer coordination and managing schedules
- (Desired) Associates or more education in the fields of Hospitality, Management, or related field.
- Certification in Volunteer Administration (CVA) requested but not required
Demonstrated Skills & Abilities
- Intermediate - Microsoft Office Suite
- Intermediate- Web-based Volunteer Information System (Volgistics)
- Intermediate- Customer Service and Volunteer coordination
- Intermediate- Organize workload and prioritize tasks to meet changing priorities and deadlines
- Intermediate- Extraordinary customer service communication skills
Compensation Our organization adheres to established salary ranges for each position to ensure equitable pay practices. However, final offers are determined based on various factors, including the candidate's experience, qualifications, and considerations of internal pay equity.

- A minimum qualification evaluation of education, training, and experience of submitted application packets will take place by Human Resources the week of May 5, 2025.
- A Subject Matter Expert (SME) Panel will perform an evaluation of experience and training taken from your employment application materials.
