This role is responsible for managing procurement requests, assisting with requisitions and purchase orders, ensuring compliance with procurement policies, and providing training on fiscal and procurement systems. The specialist will enter and verify contract details in the Contract Lifecycle Management (CLM) system, maintain accurate procurement records, and support the Fiscal Analyst Sr. with fiscal reviews and financial projects. This position requires a detail-oriented individual who is proactive in assisting with procurement processes, ensuring compliance, and supporting the broader fiscal operations of the college. Essential Functions 30% Procurement Customer Service: Engage with college-wide stakeholders and employees to provide fiscal and procurement assistance. Review and manage on-line procurement requests. Consult with requesters to determine purchasing needs, verify account information, and confirm budget availability. Document order requests in Google Docs and obtain required quotations for requisitions. Provide fiscal training relating to the Procurement Process. 30% Fiscal Procurement Assistance: Assist faculty, managers, and staff in creating requisitions and purchase orders for supplies, media, equipment, and other one-time purchases. Serve as a resource for procurement system users, providing guidance on requisition processes and procedures. Conduct (Financial Management System) FMS training and escalate complex requests to appropriate resources. Obtain necessary supporting documents, such as Certificates of Insurance, additional quotations, insurance waivers, and official function or membership forms for requisitions and purchase orders. 25% Contract Entry for the (Contract Lifecycle Management) CLM System: Enter, update, and verify new contract and agreement information in the (Contract Lifecycle Management) CLM database and (Financial Management System) FMS purchasing system. Ensure accuracy details contract information for purchase orders. Serve as a backup for purchasing operations. 15% Record-Keeping & Compliance: Maintain procurement logs, files, and records in accordance with policies and procedures. Manage and update procurement-related information on the college's website. Conduct basic research for special projects and assist account managers with budget reports and on-line procurement information maintenance. Additional Fiscal Support: Assist the Senior Fiscal Analyst with fiscal and P-Card purchasing reviews, invoice voucher reviews, fiscal training, and other financial projects as needed; other duties as assigned. Minimum Qualifications Associate's Degree from a regionally accredited institution and one (1) year of procurement support or related experience. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications A. Two (2) or more years of experience in procurement, fiscal support, or financial operations, preferably within an educational or public sector environment. B. Experience with working in a team, providing fiscal related services to other stakeholders and the community. C. Experience with Microsoft Office Suite (Excel, Word, PowerPoint) and Google Docs. D. Experience with ERP systems, preferably PeopleSoft, for managing procurement and financial processes.
