Job Summary

The Division of Endocrinology and Metabolism within the Department of Medicine is seeking an experienced and detail-oriented individual with strong verbal and written communication skills. The ideal candidate will be able to manage multiple projects with tight deadlines in a dynamic environment. The Administrative Officer will provide comprehensive administrative support to the Division, working closely with the division manager and the core administrative team.

The successful candidate must be capable of handling multiple tasks simultaneously with acute attention to detail. They must be diligent, accurate, efficient, and possess a strong work ethic. The ability to prioritize tasks in a fast-paced environment, analyze issues independently, and work with a high degree of autonomy is crucial. The candidate should also be exceptionally well-organized and adaptable. This position reports directly to the Division Manager.

The Administrative Officer will be responsible for coordinating Endocrinology Grand Rounds (EGR) and assisting with Continuing Medical Education (CME) matters. They will coordinate faculty searches, orient new hires, assist with IT system access and medical staff credentialing, and address various ad hoc human resources concerns. Additionally, the Division Analyst will oversee facilities coordination within the division, handling maintenance and repair issues independently. They will organize special projects and manage events, oversee the division's procurement processes, and handle faculty reimbursement requests.
While most work for this position can be performed remotely, there will be occasions that require the administrator to be present in the office for meetings or other on-site events, such as supporting the Endocrinology Grand Rounds (EGR).

Covered under University series concept / job specification for classification 4722. Under general direction works on operational and/or procedural assignments that require the exercise of considerable discretion and independent judgment. Understands implications of work and makes recommendations for solutions. Determines methods and procedures on new assignments.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $29.03 - $41.55 (Hourly Rate).

Our mission remains simple: To provide world-class endocrinology care in the clinic and lead the endocrine field in research. For over 50 years, the Division of Endocrinology and Metabolism at UCSF has been an international leader in both clinical endocrinology and basic endocrine research. We bring the questions and unknowns from our patient's bedside to the research laboratory, not only to improve our understanding of the disease process, but to develop new therapeutic modalities. We then bring the advances of the laboratory back to our patients. Endocrinology at UCSF Medical Center was ranked fourth in the nation, according to U.S. News & World Report. Our Endocrinology Clinic and metabolism services include comprehensive consultation and treatment for patients with known or suspected hormonal disorders.

Required Qualifications


  • High school graduation and four years of related administrative experience; or an equivalent combination of education and experience;
  • Working knowledge of common organization-specific and other computer application programs like Microsoft Office including Outlook, Excel, Teams, Word, Powerpoint. Also Doodle and other meeting time finding applications.
  • Knowledge (or ability to learn quickly) UCSF operations including MyExpense, Connexus, UCSF Advance, My Reports, PeopleSoft, PeopleConnect and Bear Buy.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Ability to use discretion and maintain all confidentiality.
  • Ability to use sound judgment in responding to issues and concerns.
  • Ability to work independently.
  • Ability to multi-task and prioritize tasks.
  • Professionalism-able to maintain the utmost professionalism in all situations and work effectively with stakeholders who range from community partners to university leadership to donors.

Preferred Qualifications


  • 2 years work experience in a related field
  • Knowledge of public health topics
  • Knowledge of key UCSF software such as listed above
