This role is also eligible for S&C's annual incentive plan (AIP), subject to eligibility criteria. Join Our Team as a Lead Executive Assistant! As a Lead Executive Assistant, you'll be crucial in ensuring smooth operations and supporting our diverse team. The Executive Administrative Support team is responsible for providing strategic guidance and seamless coordination to the C-suite. Composed of skilled professionals in operational efficiency and stakeholder communication, the team drives initiatives aligned with our strategic objectives, ensuring confidentiality and fostering organizational excellence. The Lead Executive Assistant reports directly to the Chief Human Resources Officer (CHRO), serving as their primary support.This position plans and orchestrates a wide variety of complex support assignments, ensuring executives' priorities are met, department operations run smoothly, organizational goals are achieved and best practices are upheld. They must have the ability to identify, prioritize, and execute complex deliverables in a fast-paced environment while safeguarding confidentiality. They must be purpose-driven, committed to a "culture of caring," and community-oriented. Key Responsibilities:
- Act as a trusted partner and project contributor for the CHRO, providing insights and recommendations that align with organizational goals and significantly improve administrative processes. Regularly facilitate executive meetings, ensuring clarity and alignment on key initiatives.
- Plan and coordinate high-level meetings, events, and engagements. Handle all logistical arrangements, including venue selection, catering, and guest coordination, ensuring seamless execution and representation of the organization.
- Streamline executive workflows by using judgment to properly manage schedules, prioritize tasks, and coordinate logistics for meetings and travel. Implement systems to enhance productivity and ensure timely completion of executive tasks.
- Oversee and manage key projects on behalf of the CHRO, from initiation to completion. Complete critical aspects of deliverables with a hands-on approach, coordinate with various departments, track progress, and provide regular updates to key stakeholders.
- Function as a liaison between the CoS, S&C leadership, board of directors, sales personnel, customers, industry contacts, visitors, etc, making recommendations to enhance the communication process and improve communication channels where appropriate. Prepare and distribute communications, presentations, and reports, ensuring clarity and consistency in messaging.
- Manage sensitive and confidential information with the utmost discretion. Maintain organized records, files, and databases, ensuring data security protocols are adhered to at all times.
- Coordinate detailed executive travel arrangements within and outside of the US and submit expense reports for all travel expenses. Oversees cost center budgets and processes invoices for payment.
- Conduct in-depth research, analyze data, and prepare comprehensive briefings and presentations for the C-suite. Produce complex documents and reports to support projects as a key contributor and hold themselves accountable to meet deadlines without constant supervision. Provide insights and recommendations based on findings, supporting informed decision-making processes.
- Cultivate and maintain relationships with key stakeholders, partners, and external parties. Coordinate meetings, follow-ups, and communications to enhance collaboration and support executive goals.
- Create and implement processes and policies within the executive support function. Make recommendations and work with other EAs to implement best practices, tools, and methodologies to optimize the efficiency, productivity, and overall effectiveness of the executive administrative support team. Coaches other EAs on best practices and reviews their work to ensure a high standard of support and adherence to EA policies and procedures is held consistently.
- Support the professional development of the C-suite by identifying learning opportunities, resources, and networks. Coordinate executive training, workshops, and conferences, ensuring continuous growth and enhancement of leadership capabilities.
- Understand and comply with all applicable Company policies and rules
What you'll Need To Succeed:
- Bachelor's degree in a related field, or equivalent working experience
- 7+ years of demonstrated experience providing executive-level support, including offering the highest level of forward-thinking and preemptive service and response.
- Proven track record in streamlining C-suite support processes and driving operational efficiency within a high-level executive environment. Takes ownership of administrative support processes and has the ability to hold oneself accountable for success.
- Strong interpersonal, networking, and influencing skills with the ability to build and maintain relationships with high-level key stakeholders, both internally and externally, while fostering collaboration and partnership for future success.
- Excellent communication skills, both written and verbal, with the ability to effectively communicate with diverse stakeholders, including senior executives, customers, board members, and external partners. Able to use influential language within their function to accomplish tasks.
- Excellent organizational skills with a keen ability to prioritize tasks, manage multiple assignments and schedules concurrently, and consistently meet tight deadlines.
- Ability to support and mentor junior staff, and drive continuous improvement initiatives within the executive support function.
- Strong analytical and research skills, with the ability to gather, analyze, and summarize information to support executive decision-making processes.
- Good project management skills with experience in overseeing complex projects from initiation to completion, ensuring timely delivery and alignment with strategic priorities.
Preferred:
- Previous experience supporting an executive team in a multinational organization.
- Demonstrated experience and interest in internal and external communications, philanthropy, and sustainability desired.
