Position Overview

The Executive Assistant (EA) to the CEO is a highly skilled professional responsible for providing seamless, white-glove support in a fast-paced, high-expectation environment. This role requires an individual who can anticipate needs before they arise, respond with precision and urgency, and execute flawlessly to ensure the CEO's time and priorities are optimized.

Given the CEO's demanding schedule (~180 days of travel per year), the EA must be proactive, adaptable, and accessible 24/7 to manage real-time changes, solve problems before they escalate, and ensure smooth daily operations.

Job Responsibilities

Executive Support & Anticipatory Planning



  • Act as chief gatekeeper and primary point of contact, filtering requests and prioritizing critical matters.
  • Anticipate the CEO's needs before they arise, proactively solving problems and removing obstacles without needing direction.
  • Maintain 100% accuracy in calendar management, ensuring meetings, calls, and events are flawlessly scheduled and executed.
  • Provide real-time support and rapid responses, managing last-minute changes with precision and calm.
  • Draft, review, and edit emails, correspondence, and communications on behalf of the CEO.
  • Identify and implement opportunities to streamline and improve the operation of the CEO's office.
  • Plan, coordinate and execute a variety of events for the CEO's office including meetings, workshops and corporate gatherings. Manage vendors, negotiate contracts, develop and manage budgets, serving as primary point of contact for all event-related activities.



High-Stakes Travel & Logistics Management



  • Oversee complex, multi-leg global travel itineraries, ensuring seamless transitions between locations.
  • Anticipate and resolve travel disruptions in real time, including last-minute schedule changes, flight cancellations, and unexpected requests.
  • Arrange all accommodations, transportation, visas, security clearances, and VIP access with concierge-level precision.
  • Expertise in private jet coordination, including managing charters, optimizing flight routes, and ensuring seamless ground transfers for executive travel.
  • Proficiency in Concur travel and expense management, efficiently booking flights, handling reimbursements, and reconciling expenses with precision.



Crisis Management & Rapid Problem Solving



  • Operate with a sense of urgency, handling high-pressure situations without hesitation.
  • Remain composed and solution-oriented in the face of shifting priorities.
  • Make executive decisions on the CEO's behalf when necessary, using sound judgment and discretion.
  • Proactively identify risks and prevent potential issues before they escalate.



Confidentiality & Discretion



  • Handle highly sensitive business and personal information with the utmost confidentiality.
  • Navigate board-level relationships, investor communications, and high-profile engagements with professionalism and discretion.
  • Ensure seamless integration of the CEO's professional and personal preferences into daily operations.


Minimum Qualifications


  • 10+ years of experience supporting C-level executives in a global, fast-paced environment.
  • Extreme attention to detail, rapid response time, and anticipatory thinking-must always be three steps ahead.
  • 24/7 accessibility-willing to work outside of standard hours, including weekends and late nights, given the CEO's schedule.
  • Mastery of executive travel planning-experience handling complex, high-stakes international travel with shifting schedules.
  • Fluent in high-level business communication, capable of drafting polished correspondence and acting as a representative of the CEO.
  • Tech-savvy and resourceful-proficiency in Microsoft Office, Google Suite, expense reporting tools, and global travel platforms.
  • High EQ and adaptability-must read situations well, manage interpersonal dynamics, and align with the CEO's working style.
