Overview

The Government requires comprehensive support services for daily operations in areas of normal administrative service functions to include action suspense tracking, workload prioritization, calendar maintenance, communications, correspondence and distribution services, reporting, procurement of administrative supplies, property administration, security management, forms, graphics, printing, word processing, files and records as well as travel (requires familiarity with the use of the Defense Travel System) and transportation, directives, and training.



Responsibilities

    Support the correspondence management processes to include all aspects of mail operations and electronic workflow tools (e.g., Correspondence and Task Management System (CATMS)). Draft plans, reports, presentations, directives, correspondence, and other documents.
  • Support the improvement and simplification of reporting requirements as well as analyzing documents to include regulations and directives for conformance, clarity, duplication or conflict. Track the status of activities and products.
  • Provide communications support in the areas of Web management, blog management, SharePoint collaboration services, facsimile transmissions, and other types of document sharing systems as well as maintaining organizational charts and directories; familiarity with Defense Collaboration Services (DCS) and OSD Voice and video conferencing equipment is required.
  • Support the requisition, purchase, storage, and issuance of office supplies, the management of administrative property, the safeguarding and security of classified materials and information, the maintenance and execution of security plans as well as the monitoring of all aspects of the security program.
  • Provide routine security and administrative support such as access control to DoD CIO classified spaces. Normal office hours from 0800-1700 are expected through the entire contract period (base period and through all the option periods). In addition, support the maintenance and execution of DoD CIO security plans, Continuity of Operations (COOP) plans, methods and standard operating procedures as well as the monitoring of all aspects of the security program.
  • Support the management of forms and related guidelines, which includes printing, publication, procurement, physical and electronic distribution, and maintenance of stock levels. Recommend and support the implementation of information management methods. Evaluate, recommend, provide, and facilitate administrative, business, and office management support tools, methods and processes and perform implementation, facilitation, and training activities associated with change management and execution.
  • Support the development and installation of physical and electronic filing systems as well as the maintenance, transfer, and disposition of records.
  • Support the planning, scheduling and facilitation of on-site training requirements as well as processing training requests for formal off-site training;
  • Support the preparation of reviews, briefings (includes preparing, and revising briefing slides) and presentations to senior department leadership and interdepartmental committees as well as other government and non-government officials.
  • Provide quick reaction support to include associated papers, briefings and slides.
  • Provide travel and transportation support and related services in the areas of planning and scheduling foreign and domestic travel itineraries, booking reservations, obtaining tickets and arranging for government or commercial transportation using the Defense Travel System (DTS) for such activities and support. When necessary for foreign travel transmit country clearances using the DoD Foreign Clearance Guide and Aircraft and Personnel Automated Clearance System (APACS).
  • Support Senior Executive level calendar and appointment administration and ensure that background/read-ahead materials are prepared in support of upcoming meetings and activities. Such assistance will also include providing routine security and administrative support such as access control to DoD CIO classified spaces, greeting office visitors, according to priority.
  • Support the preparation of executive correspondence to include creating official documents, proofreading executive correspondence, publications and memoranda (for conformance, clarity, duplication or conflict), electronic and hard copy data storage, and monitoring, printing and tracking taskers.
  • Update travel voucher to include a Cost Assessment and Program Evaluation (CAPE) Office worksheet after completing it online and added the comments needed.
  • Coordinate meetings for upcoming Secure Video Teleconference (VTC) that have been put into the system.
  • Act as the Directorates' Ghost Account Holder (GAH) representative, to the applicable supply store.
  • Provide oversight management for the scheduling activities of directorate principal; provide resourceful scheduling information to office callers and visitors as requested. Coordinate, organize, advise, and de-conflict meetings as appropriate. Support the coordination and facilitation of management activities
