Summary:

The registrar extracts, enters and interprets data in the registry. The ability to perform ICD- coding is required, as is trauma scoring with statistical reporting and interpretation. The ability to create and print reports is an essential function of the registrar. The registrar maintains the confidentiality of data in the registry. The registrar also performs data validation per the American College of Surgeon's criteria. A proficiency in the maintenance and manipulation of the TRAUMA BASE software is essential. Must be able to download data as required by trauma center rules per the ACS and the state trauma rules. Per the American College of Surgeons, there must be at least 0.5 FTEs dedicated to the trauma registry per 200-300 annual patient entries. This position can also serve as secretarial support for the trauma services department.

Responsibilities:


  • Assumes responsibility for accurately identifying trauma patients and enters them into the trauma registry.
  • Updates and maintains all trauma registry patients including all TDH/NTDB essential elements.
  • Demonstrates accuracy in the calculation and use of the following tools: Injury Severity score; Trauma Score; TRISS Plots; Probability of Survival Score; Glasgow Coma Score; and ICD Coding.
  • Downloads patient information as required by TDH/ACS to the state
  • Monitors data validity on 10% of patient records.
  • Maintains confidentiality of written and verbal communication. Maintains confidentiality of autopsy reports, and mortality and morbidity issues.
  • Assists medical records department as needed and communicates problems and concerns to trauma program manager.
  • Prioritizes and communicates information to appropriate personnel in a timely manner. Implements method to assure communications have been received and/or acted upon.
  • Prepares, distributes and files reports, correspondence, and documents in the correct format. Organizes office. Maintains confidential files. Able to extract data in a timely manner. Maintains and update knowledge of report writing skills.
  • Provides secretarial support to the Trauma Services department personnel when needed.
  • Serves as a support/resource person for other hospitals in RAC "R".

Requirements:

Education/Skills


  • High school diploma or equivalent
  • Associate degree preferred

Experience


  • Experience with medical records; coding experience preferred; medical terminology experience preferred.

Licenses, Registrations, or Certifications


  • Basic EMT preferred.
  • Trauma Base Software within ninety (90) days of employment.
  • AIS coding within twelve (12) months of employment with a refresher course within 5 years.
  • A trauma registrar course or equivalent provided by the State of Texas trauma program within 12 months of hire.
  • Continuing education will be required as per the American College of Surgeon's criteria.
  • One trauma registrar must be a current Certified Abbreviated Injury Scale Specialist (CAISS) by the Association for the Advancement of Automotive medicine
  • ICD 10 course in trauma within first year of hire and every five years
  • Must accrue 24 hours of trauma related CE during the designation/verification period of 3 years
