Job Title: Administrative Assistant, Human Resources

FLSA Status: Non-Exempt

Department: Human Resources

Reports to: CHRO

Flex Work Eligible! This position qualifies for the Flexible Work Policy. Employees receive 75 workdays annually to work remote! The initial amount of days is prorated for the first year based on start date.

GENERAL DESCRIPTION / PURPOSE:

The Administrative Assistant, Human Resources provides direct support to the Chief Human Resources Officer (CHRO), and some general support for the Human Resources Department. The Administrative Assistant will manage schedules, coordinate meetings, manage confidential correspondence, prepare reports and presentations, facilitate communication between the CHRO and internal/external stakeholders, and manage multiple priorities in a fast-paced environment.

ESSENTIAL JOB FUNCTIONS:

Functional & Technical Skills



  • Provide comprehensive administrative support to the CHRO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Serve as the primary point of contact for internal and external stakeholders on behalf of the CHRO.
  • Prepare and edit correspondence, reports, presentations, and other documents including materials for Loram HR Committee and Loram Holdings Inc HR Governance Committee.
  • Organize and maintain files, records, and HR-related documentation, ensuring confidentiality and compliance with company policies.
  • Assist in coordinating HR and company-wide initiatives, events, and projects as directed by the CHRO.
  • Screen and prioritize emails, phone calls, and requests, ensuring timely follow-up.
  • Conduct research and compile data for reports and presentations.
  • Manage expense reports, invoices, and budget tracking for the CHRO and the broader HR department as needed.
  • Collaborate with other department administrative assistants to facilitate communication and workflow efficiency.
  • Works with HR Business Partners to maintain personnel file security and provides access to confidential personnel files upon request to authorized managerial personnel.
  • Works on HR related projects as a resource for document creation and other materials.
  • Create and deliver professional correspondence internal to Loram as well as external on behalf of CHRO.

REQUIRED QUALIFICATIONS:

Education: High School Diploma/Equivalent

Experience: 5+ Years' experience supporting an executive position



  • Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative tools.
  • Excellent organizational skills with the ability to multitask and prioritize in a fast-paced environment.
  • Strong attention to detail and accuracy.
  • Discretion and ability to manage confidential information with integrity.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Ability to work independently with minimal supervision.
  • Anticipate needs proactively.
  • Strong problem-solving skills.
  • Customer service-oriented mindset.


PREFERRED QUALIFICATIONS:

Education: Two-year degree in related field or bachelor's degree in related field.

Experience: 3+ Years Pervious experience in Human Resources



  • 1+ Years MS Project experience.
  • Experience with HR software and systems such as Dayforce and Cornerstone.
  • Experience with Diligent.

Loram determines compensation based on factors such as skills, competencies, education, and/or experience. Certain positions may be eligible for an annual bonus and paid time off in addition to base compensation.

Starting pay for the position is between $61,900 and 75,800.
