Executive Assistant (Andover, MA)

We are looking for someone with exceptional communications skills, attention to detail and stay organized, and strong interpersonal skills in providing a wide range of administrative services and specialized project support for the SVP of Research & Development, the VPs of Sports Medicine & ENT R&D, the VP NPD PMO and the VP of Clinical Strategy. This role requires strong coordination & collaboration skills and significant experience in supporting an executive. At times, this role can often be fast-paced with lots of moving pieces, the candidate should also have good time-management skills and the ability to problem-solve and multitask.

What will you be doing?

  • Work directly with the SVP of R&D to support all aspects of his daily work routine
  • Maintain the SVP of R&D's calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs, prioritizing the most sensitive matters (diaries can be very constrained and volatile)
  • Serve as a liaison for the SVP of R&D and the wider S+N organization. This can include receiving and screening the SVP's phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution
  • Keep the SVP advised of time-sensitive and priority issues, ensuring appropriate follow-up
  • Approvals - Workday and Concur
  • Prepare, reconcile, and submit expense reports
  • Travel organisation, incl. travel bookings (air, hotel, car service), passport & visas, etc.
  • Manage all Leadership meetings, including, but not limited to venue/general organization, agenda & reading pack, time keeping, minutes & actions.
  • Manage and organize the Teams website/Sharepoint for the team and keep minutes, agenda items and actions ready and up to date pro-actively.
  • Management and organization of annual R&D Recognition event in concert with other stakeholders.
  • Assist in PMO activities and processes including scheduling, prioritization, as well as process execution and training
  • Where relevant, coordinate all people processes for SVP of R&D involving the Leadership Team (e.g. Employee Review, quarterly check ins, recruitment, onboarding, Off boarding etc.) to make sure they are effective and meet the specified deadlines.

Location: Andover, MA - expectation to be onsite 3 days a week

What will you need to be successful?

  • Experience in a similar level role in a global organization
  • Accustomed to working across different time-zones, showing flexibility in their working time arrangement
  • Proficient/Expert in Windows and the Microsoft Office Suite (Outlook, Word, PowerPoint, Excel), Sharepoint, Skype for Business, Zoom, Teams, Conferencing
  • A meticulous self-starter with prior experience in working in a multinational organization or with a technology/research team
  • Someone who exhibits sound judgment with the ability to prioritize and make decisions
  • Energetic and eager to take on new projects and ideas
  • Comfortable interacting with high-level executives possessing a strong level of communication skills (written, verbal and presentation)
  • A great teammate capable of cultivating productive working relationships across the firm in a pro-active manner
  • Resourceful, can-do attitude but able to work in discretion on sensitive topics
