Brief Summary of Work for this Position
The Orientation Advising Coordinator, in collaboration with the Assistant Director of Transition Initiatives, is responsible for planning and implementing the Center for Academic Advising's role in the advising and registration process for new Center of Academic Advising students.

This work involves effective communication, collaboration, and coordination with internal and external stakeholders. In addition, the Orientation Advising Coordinator supports academic advising efforts delivered through the Center for Academic Advising by providing academic advising services to approximately 100 students, coordinating spring and summer orientation sessions, serving on assigned taskforces or committees, and other duties as assigned to support the Center for Academic Advising's mission. Furthermore, the Orientation Advising Coordinator works closely with the CAA Business Office, The Office of Transition Programs, and the Center for Academic Advising team members to ensure the Center for Academic Advising is successful in welcoming new students through the advising and registration process.

These duties include, but are not limited to:

  • The development and evaluation of a comprehensive process to ensure all new Center for Academic Advising students receive accurate, timely, and effective advising as new student transition to UNCW, in support of enrollment goals.
  • Manage and assign incoming Center for Academic Advising students (approximately 3000 freshman, 1500 transfers) to specific advising sessions connected to the university's new student orientation based on a variety of criteria utilizing Banner, SSRS, Excel, and other data sources.
  • Create timelines and workflows surrounding key dates that impact orientation advising sessions and training of staff.
  • Coordinate with the Assistant Directors and Director in the Center for Academic Advising to ensure communication and information sharing across the Center for Academic Advising teams related to orientation, advising, and training.
  • Develop, manage, and implement any early registration process for new students occurring outside of the traditional new student orientation sessions, to ensure a seamless experience for students.
  • Create educational materials related to curriculum for incoming new students to prepare students for first-semester registration.
  • Collaborate with key university offices to ensure resources are up to date, available and accessible. Examples include, but are not limited to, TAC, Academic Departments, Space Management, and the Office of the Registrar.
  • Serve as a resource regarding all aspects of orientation advising to prospective and new students and parents.
  • Create and implement training materials for Center for Academic Advising staff, academic advisors across campus, and other who support new student registration advising, focusing on advising approaches, practices, workflow, and follow-up during all new student advising sessions.
  • Create training materials and train Orientation Leaders (students) and/or other identified student leaders regarding registration and support during in person orientation sessions.
  • Develop communication plans and content for both students and advisors surrounding the orientation and registration process.
  • Serve as the chair of the Center for Academic Advising Orientation Advising Team.
  • Represent the Center for Academic Advising in meetings with the Office of Transition Programs to provide input and receive information on key dates, deadlines, changes/updates for program.

Minimum Education and Experience Requirements

  • Master's degree and 1-2 years of work experience in a related university or college setting.
  • Experience in planning, executing, and leading others through complex processes involving data, large groups of students, and families.
  • Excellent written, oral, and interpersonal communication skills.
  • High degree of accuracy and excellent attention to detail.
  • Excellent decision making and organization skills.
  • Experience offering excellent customer service in a fast-paced environment.
  • Understands the needs of new college students of all types and is committed to process. improvement and evaluation related to advising and registration.
  • Effectively work both independently and cooperatively in a team environment.


Preferred Education, Knowledge, Skills & Experience

  • Master's Degree in higher education, college counseling, student affairs, or other related fields.
  • 2-3 years of experience in higher education, preferably involving academic advising, academic coaching, or other closely related collegiate advising experience.
  • Previous experience in higher education working with first- and second-year students and students transitioning to a college or university setting.
  • Experience in an academic advising setting managing a large operation such as advising and registration for orientation, or other closely related process or system.
  • Possess skill, knowledge, and ability to communicate with a broad constituency including UNCW senior leadership.
  • Effectively work both independently and cooperatively in a team environment.
  • Excellent written, oral, and interpersonal communication skills, excellent time management and organizational skills and a high degree of accuracy and excellent attention to detail.
  • Experience offering excellent customer service in a fast-paced environment.
