Student Engagement, Enrollment, and Retention ( SEER) is one of eight primary functional areas within the Division of Academic Affairs at UNCW. SEER's mission is to support students throughout their academic career, from recruitment to graduation, to advance student success as well as institutional goals for retention and degree completion. SEER includes multiple units include Admissions, Military Affairs, Registrar, Scholarships & Financial Aid, Student Athlete Support Services, Student Success and Retention, Transfer Partnerships, Student Success Data and Research, Precollege Programs, and the Center for Academic Advising. Each unit has a director reporting to the Associate Provost for SEER.

Brief Summary of Work for this Position
The Executive Assistant role provides support and assistance to the Associate Provost for SEER and involves a variety of responsibilities across several key areas. This position is responsible for scheduling and meeting assistance, event planning, purchasing and travel, website management, and leave keeping.

Responsibilities include:

  • Managing calendars and setting up meetings for senior executives and monthly committees.
  • Organizing and overseeing events such as the Fall and Spring First Day of Classes Kick Off, SEER Annual All Hands Meeting, and various gatherings.
  • Making purchases, arranging travel, and handling reimbursements
  • Writing, editing, and proofreading content for the website.
  • Greeting guests, organizing documents, managing phone and email communications, keeping track of leave, and maintaining office supplies and technology.

Minimum Education and Experience Requirements
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Preferred education, professional skills and experience

  • Graduation from a four-year college or university with a Bachelor's Degree, preferably with a major emphasis on Business administration or a related field, and 5 or more years of experience supporting a senior leader at a college or university
  • Skilled at scheduling and maintaining a changing schedule
  • Ability to work independently with minimal supervision
  • Experience with Zoom, including creating meetings, managing breakout rooms and meeting tools, and hosting hybrid meetings with some participants in-person and some virtual
  • Advanced experience with Microsoft Office Word, Excel, PowerPoint, SharePoint, and Teams
  • Customer service oriented
  • Experience with University purchasing processes and reconciliation
  • Experience booking travel and conference reservations
  • Knowledge of the undergraduate student experience
  • Experience updating website content
  • Experience with planning and hosting events
