JOB SUMMARY:
The Associate Vice President for Business Affairs Administration (AVP) is a key position on the Business Affairs (BA) leadership team and works across the enterprise to ensure BA is delivering on its mission of Stewardship and Service. Reporting directly to the EVP of Business Affairs, the AVP will serve as a member of the BA leadership team by helping to coordinate and oversee strategic planning and implementation of strategic and operational improvement efforts of the BA team as well as serving to provide centralized BA communications to stakeholders across the organization. This AVP role requires an innovative, highly collaborative, and a transformative thought leader who understands the tri-part mission of the institution as well as the stewardship and service mission of BA. This role will be required to use of both personal expertise and an ability to collaborate leveraging the expertise of others to deliver successful results related to the BA division's path forward in excellent customer service and responsible stewardship of assets whether they are human, facility or finance.

ESSENTIAL FUNCTIONS:

Business Affairs Strategic Planning:



  • Working with the EVP and BA leadership to develop a clear understanding of internal stakeholder needs, external competitive dynamics, and opportunities for value creation to develop and execute against a multi-year strategy and delivery roadmap for the EVP's primary areas of responsibility, including but not limited to: Accounting and Fiscal Services, Auxiliary Enterprises, Budget and Resource Planning, Business Affairs Decision Support, Facilities Management, Human Resources, Information Resources, Information Security, Safety and Business Continuity, Sponsored Programs Administration, Supply Chain Management, and the University Police Department.
  • Partnering with the BA leadership team, leads the design and development of short-and long-term BA strategic plans to ensure continued alignment with BA and institutional strategic plans.
  • Works closely with BA leaders and teams to create annual goals/objectives and incentive plans that align with institutional and BA-level strategic priorities.
  • Tracks, reports, and facilitate activities to drive objectives and key results.
  • Ensure that funding and resources are prioritized and committed. Monitor whether actions achieved intended goals and revise future strategy and plans.
  • Provides oversight of special projects that may fall outside of standard day-to-day objectives and/or have no natural "home" in the BA organization.


Business Operations - working collaboratively with the BA leadership team:



  • Identify, execute, and sustain process improvement opportunities that support the goals of the BA and the institution.
  • Drive execution against the most critical initiatives set by EVP to continually improve the quality and customer responsiveness and to ensure standards of excellence across BA in all delivered to enhance value for internal and external customers.
  • Maintain focus on return on investment and proactively provide comprehensive financial information at the project, program, and portfolio levels. Monitors and tracks overall portfolio project forecast vs. project spend, performs variance analysis and identifies trends requiring process improvement.
  • Develops standards, processes, and reporting for resource management, capacity building, risk management, innovation efforts, and financial/KPI scorecards across BA portfolio; lead and execute a new Quarterly Business/Operations Review to report, prioritize, and align on results and priorities. Work with BA leaders to develop relevant qualitative and quantitative performance metrics that track progress against strategic plans which can be shared during the Quarterly Business / Operations Review.
  • Identifies opportunities to streamline activities within the BA division and cross functionally to improve quality, efficiency, and productivity, reduce costs, increase profits, or improve internal control measures.
  • Monitor overall BA execution against an annual operating plan and capital budget.
  • Meet regularly with stakeholders across the organization to provide relative updates on division-specific initiatives and problems and collaborating with stakeholders to develop and oversee risk mitigation plans.
  • Support and/or develop and deliver reporting as required or needed.
  • Serve as an interim leader for BA functions as needed.
  • Oversee formulation and management of any BA division steering committees, team meetings, leadership meetings, BA town hall meetings, and other relative needs.


Business Affairs Communications:



  • Coordinates communication across BA functions to ensure coordinated, effective, and timely communications of new initiatives, changes in policies and procedures, risk mitigation and/or compliance requirements.
  • Collaborates with CMPA team to support internal communication for BA division.
  • Assist in overall change management initiatives working in collaboration with BA leadership to ensure new processes and policies are successfully socialized, educated, and adopted successfully.
  • Coordinates with BA leaders to build and maintain BA brand through continuous improvement of the perceived value, reputation, and visibility of BA and its elements.

QUALIFICATIONS:
Education and Experience:
Required

  • Education
    Bachelor's Degree in business or a related field.


  • Experience
    10+ years of related experience in a similar role managing multiple aspects of business operations.

Preferred

  • Education
    Master's Degree (MBA) or Master's Degree in a business related field.

Knowledge, Skills and Abilities:

  • Strong leadership, communication, problem-solving and critical thinking skills.
  • Deep understanding and experience in broad business management, finances and operations.
  • Excellent communication and presentation skills in group settings, or one-on-one.
  • Ability to effectively collaborate and build relationships across all levels and missions.
