Position Summary:
The Director of Office Services is a strategic leader responsible for overseeing facility administration while spearheading the development and execution of innovative and forward-thinking strategies to continually improve office services and the employee experience within our locations. This role encompasses a broad range of responsibilities, including the management of capital and expense budgets, contract negotiations, and the leadership of a diverse team comprising various specialized roles within the department including Office Services (Mail, Print Services, Shipping/Receiving, Records, and Courier Services), Building Services (Facility Operations and Management, Financial Management including Real Estate and Tax Management, Workspace Planning and Optimization, Project Management, Outside Grounds, Maintenance, Janitorial, Community and Local Government Relations) and Food Services (Kiosk outsourced management). This role requires an eye toward detail as the corporate facilities represent not only the Ventura Foods corporate brand but a premium employee and visitor experience as well. The role ensures the corporate offices reflects the company's values, employee experience and enterprise capabilities. This individual will also influence the design and upkeep of common areas at our plant locations. This role must collaborate with all levels of leadership in achieving respective organizational and enterprise objectives.
Major Duties and Responsibilities:
- Lead Office Services team in operating the four headquarter locations in (Irvine, Brea, Fort Worth, Atlanta) with employees (both onsite and hybrid), ensuring excellence in service and maintenance through proactive planning and strategic decision-making.
- Assure the corporate offices maintain a high-level of presence representing the Ventura Foods brand with employees and visitors.
- Develop and implement strategic initiatives for continuous improvement in facility operations utilizing data-driven insights, innovative approaches, and operational expertise to drive the implementation of best practices, cost-saving initiatives, and sustainable solutions.
- Manage capital and expense budgets, optimizing resource utilization through careful analysis and executionary excellence.
- Partner with human resources, risk management, security and employee health, safety, and environmental to ensure that the corporate offices are optimized to ensure the security of our workforce and deliver a best-in-class employee and customer experience.
- Manage and oversee universal, hazardous, and non-hazardous waste disposal processes.
- Conduct safety and security analysis, training, audits, and inspections to ensure the facilities; including manufacturing locations are meeting internal and external requirements. (OSHA, EPA, and Best Practices). Oversee incident and crisis management activities, provide security-related counsel, and complete investigative and security assignments. Coordinate with outside agencies (fire marshall, city, etc.). Conduct annual training and emergency exercises at all locations.
- Direct complex projects, consulting with experts and enterprise stakeholders to drive enhancements in facility services, utilizing a strategic and forward-thinking approach.
- Manage and supervise project teams and contractors and maintain a standard of project management excellence.
- Develop the team to build proficiency and capability for the future.
- Conduct contract negotiations, oversee RFP processes, and maintain robust relationships with internal and external partners through clear communication and proactive engagement (this is related to only the 4 corporate office locations).
- Manage strategic sourcing, vendor negotiations, and relationships for Facilities & Corporate Office Services. This specifically includes managing and supervising the security, janitorial, landscape and food services vendors.
- Supervise Office Services leads across all corporate locations, where applicable.
- Work directly with locations to improve knowledge, understanding and execution of policies, standards and best practices. Facilitate routine team meetings and communications (periodic calls, monthly report review, etc.). Collaborate and work with plant personnel to influence the adherence to Corporate standards and policies.
- Additional responsibilities as assigned.
Education and Experience:
- 15+ years of experience in facility management or a related field, demonstrating a track record of strategic and forward-thinking leadership required.
- Proven ability to manage and develop high-performing teams, with at least 5 years in a leadership role coordinating and checking the work of others and providing subject matter expertise required.
- Strong financial acumen with experience managing significant budgets, including both capital and expense budgets.
- Strategic mindset with a history of implementing and driving improvement initiatives that impact the work performed or services provided by the team.
- Excellent communication and negotiation skills, with the ability to engage effectively with a range of stakeholders, including executive leadership, and coordinate efforts and resources to achieve shared objectives.
- Ability to travel 20%.
- Bachelor's degree preferred.
- Manufacturing experience is a plus.
- Food & beverage or retail industry facility maintenance experience is a bonus.
- Experience supporting a corporate office relocation is desired.
- Security experience is a plus.
Knowledge and Skills:
- History of leading successful building and office services teams
- Demonstrated success in building internal and external relationships, including close collaboration with human resources and corporate EHS and security teams, to ensure alignment and achieve results
