DESCRIPTION

Enrollment Management Department Overview

Enrollment Management (EM) is a multi-unit department within the Office of the Executive Vice Chancellor-Academic Affairs. The department is led by the Associate Vice Chancellor for Enrollment Management (AVC EM), who serves as the Chief Enrollment Officer and Chief Outreach Officer of the University. EM comprises multiple high-profile, core functional units including: the Office of Undergraduate Admissions, Office of the Registrar, Financial Aid & Scholarships Office, Cal-SOAP, Creative Services, Enrollment Analytics, and the Business Office. We work to advance the academic and public service missions of UC San Diego by ensuring equitable access to education and empowering students throughout their educational journeys.

Office of the Registrar

The Office of the Registrar supports the instructional missions of the University by providing core enrollment service to students, faculty, colleges, academic departments, professional schools and summer session in the areas of academic records, class scheduling, registration, and degree audits.

Under general direction, reporting to the Senior Associate Registrar, is responsible for management and maintenance of complex Integrated Student Information System (ISIS) tables such as terms, registration controls, fees, majors, and departments to support Enrollment Management business processes and controls of the academic calendar deadlines for students.

Assist and share the duties of Systems Operations-Production Control processing. Scheduling day-to-day batch job runs for production for Enrollment Management business processes for Registrar and Admissions, along with scheduling ITS Data warehouse refreshes of tables used by the campus. Verifying batch job runs and data warehouse refreshes on a daily basis after nightly ITS production processing.

Manages and is responsible for complex, ongoing processes, such as running and reviewing diagnostic reports for data accuracies prior to trial and final runs of Third Week Reports and End of Term Census Reports for UCOP. Responsible for creating and generating statistical, demographic, and other reports or files, as requested by internal and external agencies such as campus organizations and military recruiting offices as well as other business processes for the Registrar's office.

Provide specifications to Information Technology Services (ITS) and Academic Affairs Technology Services programmers or business analysts to develop/modify batch programs, web applications/interface, or Hummingbird scripts as needed for various business processes.

This is a contract position with the possibility to extend over multiple years in support of the Enterprise System Renewal - Student Information System (ESR) implementation.

  • Available to work evenings/weekends during peak periods; some domestic travel may be expected.
QUALIFICATIONS
  • Thorough knowledge of business and process analysis functions. Demonstrated knowledge of data processing principles, practices, and terminology and their application in a university environment.

  • Thorough Knowledge of related areas of IT. Ability to utilize the IBM Enterprise Server MVS/ESA TSO/E environment's ISPF/PDF interactive dialog applications to edit, verify, update, and print job run parameters, source programs and data; to create, store, print, delete, and manipulate data sets; to verify batch job completion and validate data from batch program output.

  • Strong skills and knowledge of methodologies associated with analysis of processes and problems, information flow and architecture. Advanced analytical skills to identify, analyze and organize processing requirements, documenting and data.

  • In-depth understanding and skill in process and systems requirement documentation standards, such as Use Case modeling, User Story creations and narrative description. Ability to perform all tasks with attention to detail and with the highest level of accuracy and completeness.

  • Demonstrated ability to work with others from diverse backgrounds. Skill to interact in a professional manner with university staff at all levels with patience, diplomacy and flexibility and establish effective working relationships and work as a member of a team.

  • Self-motivated and works independently and as part of a team. Able to learn effectively and meet deadlines. Demonstrates problem solving skills. Demonstrated ability to organize and prioritize multiple concurrent tasks to meet deadlines.

  • Broad knowledge relating to software design. Demonstrated ability to analyze and understand online and batch system functionality as it applies to the ISIS functions and data. Understand the interrelationships between tables in different modules. Ability to write SQL queries using Management Studio to fulfill ad-hoc and standing requests for data analysis and official reports for UCOP.

  • Thorough knowledge of business processes and procedures. Ability to establish effective working relationships within the Registrar's Office and with staff in other administrative offices.

  • Demonstrated testing and test planning skills. Ability to analyze the daily production schedule to establish job priorities, job dependencies and special processing requirements; perform testing of system functions and to recognize production failures, errors or malfunctions, and synthesize effective solutions.

  • Demonstrated effective communication and interpersonal skills. Demonstrated ability to communicate technical information to technical and non-technical personnel at various levels in the organization. Interpersonal and communications skills to work with both technical and non-technical personnel at various levels in the organization. Ability to interact in a professional manner with University staff at all levels with patience, diplomacy, and flexibility. Ability to communicate clearly and effectively in person, by telephone, and in writing.

SPECIAL CONDITIONS
  • Duties may require direct contact with children (defined as individuals under the age of 18). Completion of the Child Abuse and Neglect Reporting Act (CANRA) form is required.

  • Job offer is contingent upon a satisfactory clearance based on background check results.

  • Must be prepared to provide the best customer service and student support experience to all stakeholders.

Pay Transparency Act

Annual Full Pay Range: $77,000 - $139,200 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $36.88 - $66.67

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
