Job Details

The Faculty Contract Specialist oversees and manages all contract arrangements relating to faculty physicians, non-clinical faculty members and, Jefferson Medical Group. Interfaces with the Office of Faculty Affairs, the Office of the General Counsel, Department Chairs, Deans and Administrators, and the Faculty Compensation and Contracts Manager to ensure the integrity and accuracy of faculty contract arrangements for newly hired and existing faculty of Thomas Jefferson University (TJU) and Jefferson University Physicians (JUP). The scope of work for this position covers 1700 faculty and over 25 Departments.

* Responsible for generating and processing contracts for Faculty through the contract management system.

* Reviews and approves SFRAR submittals for new and replacement hires, including compensation plan and pro forma analysis.

* Fundamental knowledge of the JUP Clinical Faculty Compensation Model, Academic Benchmarking Surveys and equity analysis

* Serves as a resource to internal stakeholders regarding contracts, faculty compensation and compensation models, Onit system, SFRAR, and other related systems process and procedural matters.

* Generates, analyzes, and configures reports for the Vice Provost, Department Directors, Faculty Compensation and Contracts Manager, and for team meetings.

* Assists with the analysis and execution of annual projects, including: clinical faculty effort review, faculty salary budgeting, and faculty contract renewal process.

* Facilitate transition of newly hired faculty into Thomas Jefferson University (TJU) and Jefferson University Physicians (JUP) on time by managing multiple, simultaneous, critical efforts that include recruitment pro-forma review, contracting and medical staff and managed care credentialing communications.

* Significantly involved in the maintenance of contract and compensation databases, including canned and ad-hoc reporting within those systems.

* Responsible for the coordination and communication of new hires with respective business partners in Human Resources, Faculty Records and Medical Staffing/Credentialing.

* Prepare and submit approved TJU Non-SKMC faculty compensation adjustments to HRIS.

* Investigate and resolve faculty compensation discrepancies

* Initiate Offer Contract workflow: enter new hire information and supporting documents into the Onit system.

Job Description

ESSENTIAL FUNCTIONS:

Facilitates the preparation, sending and receiving of all Employment Agreements for faculty in TJU and contract terms JUP.

  • Ensures that contract templates are continually up-to-date with input from attorneys and senior leadership.
  • Produces high-quality, precise legal documents, at a high volume and consistent with timing expectations driven by executive leadership.
  • Interacts with network and outside professionals (i.e., attorneys, Department Chairs and Administrators, Senior Leadership) to secure accurate details on compensation, start date and other.
  • Works with legal to modify standard faculty contract language as policies change.
  • Processes appropriate documentation for all status changes within TJU and JUP for faculty, including preparing addendums, communicating changes to appropriate stakeholders, and updating necessary databases / systems.
  • Continually updates all employment agreements as deemed appropriate to reflect changes to status of employment and benefit eligibility (i.e. position, salary, FTE status, etc.)

Maintains tracking systems and databases.

  • Collaborates with team members to update, monitor and audit compensation database entries on a regular basis to ensure accurate, proactive and timely information are recorded in the database.
  • Ensures the information is available in real time on the status of all contracts, new hires status prior to employment, open positions within TJU and JUP and results and information on TJU/JUP terminations.
  • Develops strategies to improve tracking systems.

Collaborates with Professional Services Team during budgeting process of

faculty.

  • Aides in the annual budget of faculty regarding start dates, salaries, incentives, etc.
  • Responsible for the annual contract renewal process for TJU and JUP faculty.
  • Serves as back-up to Analysts on the team
  • Demonstrate strong problem-solving skills on a daily basis, including a proactive approach to solving issues as quickly as possible.

OTHER FUNCTIONS AND COMPETENCIES:

  • Ability to communicate and interact effectively with multiple levels of the organization (including executive leadership) through all of the following: Face-to-face, phone, email, regular mail. Must be detail-oriented and have demonstrated organizational skills within a large, multispecialty group medical practice and a larger hospital network.

EDUCATIONAL/TRAINING REQUIREMENTS:

  • Bachelor's Degree or higher required.

EXPERIENCE REQUIREMENTS:

Minimum Required

  • 3+ years of related work experience

Preferred / Desired

  • Minimum 5+ years of related work experience to include communication and service to or with a minimum of 750+ FTE (full-time equivalent) physicians and/or faculty, as well as other high-level professionals within health care (i.e. executive management).
