Description

ACCOUNTING SPECIALIST

POSITION PURPOSE:

Under guided supervision, this position supports all revenue and cash receipts aspects of accounting utilizing a skillset that has great attention to detail, accuracy, understanding of Museum operations and not-for-profit Accounting. Performance of segregated duties and adherence to internal control procedures contributes to the audit requirement of safeguarding museum assets.

This position reports to the Director of Accounting.

PRIMARY RESPONSIBILITIES:




  • Daily Duties

    • Review and record daily revenue postings including: Museum Shop, Membership, Admissions, Development and Events.
    • Download and reconcile daily bank lockbox deposits.
    • Prepare and process checks for remote deposits.
    • Prepare invoices, as requested and manage cash receipts log.




  • Cash Office - One to two days a week and back up, as necessary.

    • Performs daily cash vault reconciliations.
    • Prepares and distributes daily bank bags.
    • Prepares weekly change orders, as needed.
    • Prepares and distributes courier per diems in accordance with Museum policy.




  • Month End and Year End Process

    • Record event revenue in the appropriate month.
    • Record Museum shop COGS, inventory adjustments and monthly reporting.
    • Review and prepare entries to record monthly credit card fees.
    • Assist in the annual budget and reforecasting process.
    • Complete month end closing responsibilities as assigned including reconciliations.
    • Reconcile Deferred Gift Cards monthly.
    • Assist with Sales Tax Reporting.




  • Other Duties/Responsibilities

    • Understands and ensures appropriate segregation of duties across all departments and documents workflow processes.
    • Ensures accurate cut off and completeness of financial information.
    • Verifies proper accounting classification of receipts by assignment of accounting account codes.
    • Follow the Museum's documented policies and procedures and uphold internal controls.
    • Participate in department and Museum projects.
    • Supports other accounting team members.
    • Researches and resolves problems in a timely manner.
    • Assist with museum annual audit and 990 schedule information.
    • Assist with governmental compliance regarding annual museum license renewals.
    • Other duties as assigned.
    • Consistent usage of the Racial Equity Lens in day-to-day operations.
    • Yearly goal setting to support Racial Equity Roadmap initiatives.




Qualifications

QUALIFICATIONS:




  • 2-4 years general accounting experience
  • Detail oriented, professional attitude, reliable, positive customer service skills
  • Proficient in Excel and Word, Microsoft Dynamics 365 Business Central experience a plus
  • Working knowledge of cash handling and accounting principles.
  • Possess strong organizational and time management skills.
  • Strong problem solving skills, basic accounting knowledge, research and resolution skills, data analysis and multi-tasking skills.
  • Ability to communicate effectively verbally and in writing.
  • Ability to interact with employees and vendors in a professional manner
  • Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness.



Position type: This position will be covered by a Collective Bargaining Agreement with AFSCME-CWU.

Pay: The hiring hourly/salary for the position is $21.00-$26.25 based on experience.
