Summary:
The office manager is responsible for supervising the clerical staff and coordinating the daily office operations to facilitate a smooth work flow and timely resolution of problems.

Required Minimum Knowledge, Skills, and Abilities (KSAs)

  1. Education: Knowledge of office project management practices normally acquired in the first 2 years of college or business school.
  2. License/Certifications: N/A
  3. Experience: One to two years of progressively more responsible work experience in a similar clerical and supervisory position necessary to gain knowledge of office practices, procedures and equipment, and ability to hire, train, motivate, evaluate and discipline subordinate staff.
  4. Demonstrates information systems expertise with ability to run routine reports and other statistics such as volume-related statistics.
  5. Demonstrates ongoing education and professional development (leadership and management). Takes advantage of educational opportunities and communicates information to staff.
  6. Participates in self evaluation process.
  7. Demonstrates awareness and knowledge of departmental and organizational systems.
  8. Acts as a role model and resource in qualified areas of expertise (customer service, systems). Available and approachable as an expert resource to staff, other MMC colleagues and external customers.
  9. Demonstrates awareness of changes and advances in field. Stays up to date about internal and external regulatory requirements, initiatives and changes that impact the department/division.
  10. Demonstrates an increased level of organizational skills, effective time management strategies, and ability to rapidly prioritize and adjust work-flow according to changing patient needs.
  11. Ability to analyze management problems, and make sound recommendations for their solution. Analytical ability to set standards/goals, and to conduct follow-up to ensure goals are met.
  12. Strong interpersonal skills to develop and maintain effective working relationships with direct reports, supervisors, managers, administrators and physicians within and outside of the department. Fosters a work environment that allows for free expression of ideas, opinions and flow of information resulting high performance team and staff retention.
  13. Demonstrates skill in team building and positive problem resolution.
  14. Ability to assist in the development of a department budget; ability to monitor and control expenditures.
