Position Highlights |
The department of Steward Observatory seeks to fill a full-time position of a Research Program Administrator. The selected candidate will assist Professor Daniel Apai in logistical and financial aspects of managing major NASA grant projects "Alien Earths" and "Pandora", as well as managing finances for a number of other grant accounts, including pre-award proposals and budgets, and post-award monitoring and reporting. This position will coordinate information dissemination to a team of over 40 US and international collaborators, facilitate travel planning and process expense transactions, facilitate meetings and events, compile and publish newsletters and promotional materials, and manage "Alien Earths" website. Additional tasks supporting Dr. Apai's projects may be assigned.

Duties & Responsibilities |
- Financial management: Prepare cost and salary projections and analyses; prepare financial and administrative reports for administrative planning purposes; analyze and interpret financial data and other information. Monitor and approve program expenditures ensuring that budget allocations are not overspent; review and authorize purchase of supplies, service, and equipment within budgeted limits. Assist with pre-award budget proposals; prepare monthly financial reports; interpret accounting data, analyze reports and recommend action to be taken. Process p-card purchases, expense reimbursements, requisitions, purchase orders, and payment to outside and third-party vendors. Keep informed of regulations, policies, and procedures set forth by university or outside governing agencies.
- Logistics: Facilitate travel arrangements including reservations for flights, rental cars, hotels, conference registrations, etc. Process travel authorizations (including international travel), travel advances, and travel expense reimbursements. Develop and facilitate workshops, meetings, and teleconferences, including securing venues and managing audio/visual equipment. Facilitate hiring of students and Postdoctoral Research Associates. Welcome and assist visiting researchers.
- Communications and technology: Develop, compile, and write communications and promotional literature such as newsletter, brochures, and flyers in both printed and electronic formats. Maintain Alien Earths and Eden websites. Offer problem-solving assistance to Dr. Apai and members of his research group. Answer questions regarding policy interpretation or refer to appropriate department person when unable to respond.

Minimum Qualifications |
- Bachelor's degree or equivalent advanced learning attained through professional level experience and a minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.

Preferred Qualifications |
- Experience with UArizona financial systems and processes.
- Experience managing federal grants in academic environment.
- Experience working independently and with problem solving.
- One year of financial management experience.
