Event and Meeting Coordinator
Washington DC 10a -6p or 11a - 7p $52,900-64,800 We are seeking an experienced and organized Event Coordinator to join our team. This position reports to the Event and Conference Manager and assists in the coordination of events, including receptions, galas, business meetings, festivals and conferences. The ideal candidate will be detail oriented and eager to learn the tools necessary to take on the responsibility of coordinating events independently. Manage event administrative tasks including, meeting room and event space bookings, tracking and processing of event-related data; File electronic final documents (i.e.event forms) into internal systems Assist Event and Conference Manager with oversight of Porters/Setup Coordinate after-hour event requirements (facilities, air and lighting) Provide and track resources and guidance for internal/external event organizers Work closely with third-party AV vendors to align their services with event requirements Support light AV setup and troubleshooting as needed Provide backup support for Conference and Event Manager during absence or PTO Assist Conference and Event Manager with coordination and monitoring of event timelines and floorplans Oversee inventory of event supplies including tables, chairs, decorations and more Must be able to be flexible with hours and work overtime and weekends as required Qualifications - Experience in event planning/coordination preferred. - Proficiency in Microsoft Office Suite - Experience with event management software and CRM systems. - Strong communication and customer service skills. - Organized and high degree of attention to detail. - On-the-spot problem solving abilities. - Ability to work independently and in a team atmosphere. - Ability to lift more than 25 pounds. - Ability to be on your feet for several hours. - Weekend and evenings availability, if needed |
