Job Summary: Perform various accounts payable and other business office functions in support of the Finance department. Perform all periodic and annual reporting functions for payroll and employee benefits transactions. Responsibilities: Payroll processing * Monitor Payroll inbox. * Prepare EPI file spreadsheet to be transferred to ADP for payroll processing. * Verify all employee change reports are accurately entered including allocations. * Review Payroll Preview reports for accuracy, report changes where necessary and download final payroll reports. * Keep current with payroll tax laws and W-2 reporting requirements at federal and state level. * Backup to preparing biweekly journal entries to record payroll expense allocation and benefit transactions in the general ledger. Accounts payable processing * Enters invoices for payment, ensuring accurate entry of vendor, general ledger accounts, and appropriate descriptions daily. * Matches invoices with purchase requisitions. * Maintains and updates vendor master file including vendor W9s. * Reviews invoices for proper approvals, account coding, and compliance with the purchasing policies of the organization. * Select invoices for payment based on due dates to ensure payments are made in compliance with vendor terms, taking advantage of discounts when available. * Communicate and follow up with staff to obtain any missing documents needed for prompt invoice payment. * Investigates all vendor statements of overdue items to ensure proper payments are being made. * Handle calls and correspondence from vendors regarding payment problems, tax-exempt status, credit information, etc. * Prepare journal entries for Amazon transactions monthly. * Participate in the annual audit, providing needed backup, schedules and other documentation. * Prepares year end 1099's and is responsible for compliance with 1099 reporting requirements. * Maintains postage machine and photocopier. * Periodically serves as front desk attendant/receptionist. * Code Accounts Payable Credit Card Purchases * Adhere to and assure compliance with all internal control policies and procedures for purchasing and accounts payable processing. * File all payments and maintain vendor payment records following the records retention policy. * Close open PRs on a timely basis. * All other duties as assigned. Other duties * Assist with the various annual and periodic audits including the year-end financial audit, 401(k) plan audit, workers' compensation insurance audit, and grants audits * All other duties as assigned. Education Requirements: * Accounting Degree required. Experience Requirements: * One or more years of experience in accounting/accounts payable preferred. * One or more years of experience in a payroll processing system is preferred. * Familiarity with general ledger accounting software preferred. Skills: * Accuracy with figures is essential; must be detailed oriented. * Must have excellent written and verbal communication skills. * Ability to maintain confidentiality is essential. * Must have a valid WI driver's license, good driving record, and meets state required automobile insurance minimums.
