Position Summary

Odyssey Systems requires a Portfolio Integrator to assist the Executive Director, Aviation with process development; internal and external reporting; weekly, monthly, and annual data collection; personnel management, and project planning and execution. This role will work with the Group's Directors, Program Managers, and Task Leads as they provide day-to-day support to the USAF and other customers worldwide. The Portfolio Integrator will also assist the Executive Director and the Odyssey Growth Group in vetting new business opportunities and assessing near- and long-term growth goals.



Responsibilities

Duties include, but not limited to:

    Operations
    • Proactively engage with managers across Odyssey to ensure efficient operations for the Aviation Group's portfolio of programs
    • Independently document, manage and implement effective, repeatable processes
    • Manage and facilitate a repeatable cadence of meetings to ensure regular, transparent exchange of information and materials between key players
    • Actively assist Directors and Program Managers to respond to internal suspense assignments and Government requests in a timely manner
    • Track, organize and manage employee actions to successful closure; ensure individual employee actions are satisfactorily met
    • Track and follow up on mandatory employee training; report status to leadership
    • Assist with business management execution activities
    • As charged by the Executive Director, track and organize contract deliverable products ensuring appropriate staffing to support timely deliveries
    • Help facilitate welcome messaging, employee on-boarding and off-boarding, ensuring consistent and comprehensive employee experiences, regardless of their location
    • Consolidate and author elements of employee and program communications, such as corporate social posts, employee recognition correspondence, newsletters
  • Planning
    • Support annual budget development
    • Develop, monitor, and prepare forecasts of Revenue and Income, Program and Group Budgets, to include Indirect Rates
    • Advise Directors, Program Managers, and staff on remote/alternate work arrangement process; facilitate staffing of requests to the appropriate corporate departments
    • Assist in coordinating event activity, ex: participation, agenda and presentation material development, for hiring events, industry days, All-Hands, Executive Director presentations
    • Identify marketing opportunities in the greater Dayton area
    • Initiate and execute various projects as needed
  • Integration
    • Act as key integrator between Directors/Program Managers and Odyssey corporate departments, such as human resources, contracting, security and finance
    • Liaise with Odyssey's Talent Acquisition team of recruiters, assisting with coordination of staffing and hiring actions, ensuring open positions are advertised
    • Coordinate communication between managers, employees and Human Resource Business Partners ensuring personnel-related matters are handled with discretion
    • Help to ensure effective and timely communication and collaboration between Directors, managers, and employees, scheduling and facilitating meetings
    • Assist Odyssey program teams during transitions into new contracts
    • Facilitate business development efforts for the Aviation group to include contributing and evaluating proposals, coordinating requests for assistance, consolidating inputs, and participating in Aviation-related events/activities
    • Assist with the creation and maintenance of the Aviation Group SharePoint site
    • Help coordinate and execute quarterly Director Advisory Council and Subcontractor Management Forum meetings led by the Executive Director


Qualifications

Citizenship: Must be a US citizen

Minimum Required Qualifications

Clearance: Secret

Education: BA/BS in Business Administration or related field

Years of Experience: At least five (5) years of experience in program management

Preferred Qualifications

Education: Masters Degree in Business Administration, Management, Organizational Behavior, Economics, Finance, or related field

Technical Skills

  • Knowledge of program management principles, including budgeting, forecasting, and resource allocation.

  • Proficiency in tracking and managing contract deliverables.

  • Familiarity with process development and implementation.

  • Ability to analyze financial data, such as revenue, income, and budgets.

  • Experience in generating reports, presentations, and communications.

  • Skills in identifying growth opportunities and evaluating proposals.

  • Understanding of market research and competitive analysis.

  • Experience with Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).

  • Proficiency in SharePoint for collaboration and documentation.

  • Familiarity with budgeting and project management tools.

  • Knowledge of HR processes, including onboarding, offboarding, and employee training tracking.

  • Understanding of remote work policies and staffing requirements.

  • Understanding of USAF and DoD systems, processes, and contracting procedures.

  • Knowledge of compliance and security clearance requirements.

Interpersonal Skills

  • Excellent written and verbal communication skills for interaction with executives, team members, and customers.

  • Ability to consolidate and convey information effectively across multiple teams.

  • Proven ability to establish trust and maintain professional relationships with government personnel, corporate departments, and employees.

  • Strong ability to manage multiple tasks and deadlines.

  • Detail-oriented to track and close out employee and project actions efficiently.

  • Proactive in identifying and resolving operational and personnel challenges.

  • Flexible in managing various projects and shifting priorities.

  • Capability to act as a liaison between groups and drive alignment on shared goals.

  • Ability to facilitate discussions and lead meetings effectively.

  • Experience handling sensitive personnel-related matters confidentially and tactfully.
