Rental Administrator Position Purpose

The Rental Administrator is responsible for the profitable and efficient operations of the branch Rentals Department.

Rental Administrator Essential Functions



  • Communicates and supports the Kirby Smith vision and core values of One Mission, One Team, One Plan, One Goal
  • Provides support to the General Rental Manager and other key executives regarding the operations and functions of the rental department
  • Takes a leadership role in rental software support and is considered the subject matter expert in rental software used
  • Understands and provides support on various software programs
  • Stays knowledgeable of equipment and attachment functions they serve as to identify the requirements for setting up equipment within our database
  • Trains and oversees the Rental department support staff by utilizing people and resources efficiently and effectively
  • Develops and maintains positive external and internal relationships with vendors and other departments
  • Understands invoicing, credits, inventory control, and reports that find errors
  • Works with Sales to optimize tracking and visibility of fleet and the status of equipment
  • Conductscompany-wide inventory audits. Provides support to financial companies and our manufacturers for floor plan audits. Utilizes the software and document tools to research variances when needed
  • Consistent and reliable on-site attendance, as well as occasional travel to any of our 12 branch locations throughout Oklahoma, Texas, Kansas, and Missouri
  • Performs other job-related duties as assigned


Rental Administrator Minimum Qualifications



  • High School Diploma or Equivalent
  • Three (3) years of experience analyzing, managing, and supporting rental operations or a combination of relevant experience and training
  • Proficient with Microsoft Office - Word, Excel, PowerPoint, Outlook, and various web-based applications
  • Adept at organizing, planning, and task completion to manage a high volume of department paperwork
  • Valid driver's license with a clean driving record


Rental AdministratorPhysical Requirements



  • Pushing/Pulling/Lifting/Carrying up to 50 pounds without assistance
  • Physical ability to squat, twist, turn, bend, stoop, climb, and reach overhead
  • Must be able to work with others or work alone, outside or inside, and around fumes and odors
  • Physically able to see, hear, and speak
  • Adheres to personal protective equipment (PPE) policy and maintains individual PPE in functional condition when required
