Position Summary:

As an integral part of the administrative team, the candidate selected for this position will oversee company visits, office operations and provide the essential administrative support to the function teams including Human Resource, Finance and Communications. The ideal candidate must be detailed and customer-service oriented and be able to work in a fast-paced and diversified environment.

Position Responsibilities:



  • Facilitate and support all the visits and tours at Merritt Island facility; manage online visit registration tool and visit coordination channels.
  • Work with Reception to ensure a professional, friendly, and inviting environment is presented to all visitors, while keeping proprietary protections and staff safety intact.
  • Work with GP to maintain the office supplies and other logistics in the office.
  • Serve as POC for frequent on-site vendors (i.e. canteen) to ensure the safety stock cycles.
  • Generate and follow up the purchasing requisition for the functional teams.
  • Manage corporate card application and closure; monitor the accounts.
  • Assist/train team on Concur tool use, travel booking and best practices.
  • Support the planning and executing company events in alignment with EAs, HR and Communications.
  • Organize team boosters for the function teams.
  • Assist catering orders/setup.
  • Manage event and meeting room calendars.
  • Work with EAs to ensure their needs are met and their functions are supported.

Qualified Experience/Skills/Training:

Education:

High School diploma, or GED Equivalent

Experience:



  • 3-5 years of general office administration/management experience
  • Experience in government contracting and high-security business is preferred



Knowledge, Skills, Demonstrated Capabilities:



  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Strong communication skills in both verbal and written
  • Strong organizing and multi-tasking prioritizing skills
  • Knowledge of SAP ERP system preferred
  • Experience in Concur preferred



Eligibility:



  • U.S. Citizenship required.



Physical Requirements:



  • Carrying: able to carry documents and/or electronic equipment up to 20lbs/9kg.
  • Lifting: able to lift documents and/or electronic equipment up to 20lbs/9kg.
  • Pushing/Pulling: able to push/pull items in office areas.
  • Sitting: able to sit for extended periods of time at computer and in meetings.
  • Squatting/Kneeling: able to occasionally squat or kneel to retrieve or replace items shelved on bottom shelves.
  • Standing: able to stand for extended periods of time.
  • Travel: able to travel independently and at short notice.
  • Walking: able to walk through office and production areas including uneven surfaces.
