How you will contribute:

As a Design Project Coordinator (Part-Time), you will provide administrative support to our Design, Project, and Sales Teams by utilizing a variety of computer programs and assisting with a variety of tasks. This role requires someone with excellent communication skills (both verbal and written) and an assertive but professional personality to obtain information when required. Primary responsibilities include:



  • Work with the Design Team to produce accurate and professional documents for submittals and resubmittals to Authorities Having Jurisdiction, complete O&M manuals for customers, obtain appropriate safety documents for projects, perform close-out activities for projects, and respond to RFIs and team requests for information as required.
  • Utilize strong attention to detail by assisting the Design team with the information needed to create submittal documents.
  • Ensure paperwork is submitted to the appropriate parties and tracked to completion for Design and Project teams.
  • Work with the FSE team to provide and manage consistent documents through projects.
  • Assist with creating, tracking, and monitoring foreman packs that go to the field, and track and meet deadlines for submittals and O&M manuals.
  • Participatein weekly design meetings capturing important information to ensure parties complete tasks in adherence to the due dates.
  • Create Bluebeam fillable forms as required.
  • Maintain Equipment Submittal documents.
  • Provide project-specific information for Design and Sales teams as required.
  • Assist the Design Manager and Project Coordinators with tasks as needed.
  • Assist with gathering local municipality information as needed.



This is an exciting, part-time opportunity to be very instrumental in the successful execution of our National Fire Protection division.

What you need to qualify:

Ideal candidate should bring to Ahern a completed Associate's degree in an administrative program and/or three to five years of administrative support type experience, preferably within the constructionindustry.Those who will excel in this role will have excellent customer service skills; strong attention to detail; the ability to thrive in a fast-paced, deadline-driven work environment;a proven ability to juggle multiple tasks at once; and enjoy working in a role with a wide variety of tasks. This role requires someone who is highly proficient in Microsoft Office 2016and technically inclined to learn industry-specific software.
