What this job involves Provide superior customer service in supervising all mailroom services and functions that meet/exceed client expectations. Maintain and improve the mailing functions for the client. Support the facilities team in the implementation of key initiatives and projects as needed. Client/People Management Supervise employees and ensure outstanding operations and employee development Motivate employees and recognize their accomplishments in a timely manner Proactively develop and maintain client relationships and provide exceptional service as reflected by client feedback ensuring that expected service levels are achieved. Manage all health and safety workplace issues and actively participate in health and safety reviews Ensure that location is properly staffed by matching employee skills and equipment with production demand Mailroom Operations Conduct and supervise all mail processing and distribution Ensure all incoming mail is sorted correctly and distributed to intended recipients by mailroom staff in a timely manner Maintain accurate records of all couriers and incoming / outgoing mail Ensure the mailroom is operational at all times during designated hours Report on mail expenditure and reconcile charges as required Inventory management of all supplies Financial Management Conduct audits to ensure data integrity of all mail systems across the area. Manage operational reporting and purchasing as necessary for all mailroom related activity. Seek ways to constantly reduce costs and improve operational standards. Leadership/Staff Management Lead, manage, develop and supervise a professional friendly, creative, energetic, and detail oriented team in the delivery of extraordinary events Provide excellent onboarding, training, and team building Actively support an environment of teamwork, co-operation, performance excellence and personal success Participate in the individual performance management program and personal development planning for members of the team Align with facilities leadership team as a manager and act in a manager capacity for anything at the site/s Act as an ambassador for JLL, adopting and maintaining the firm's core values of Teamwork, Ethics and Excellence Sound like you? To apply you need to be: High School degree or equivalent preferred, with 4 years experience in mailroom operations, and at least two years of management or supervisory experience. Familiar with postal laws, rates and regulations (letters, printed materials, packages, registered and certified mail) Must be able to operate required mailroom machinery in a safe and approved manner requiring continuous or repetitive arm, hand-eye movements. Will be required to stand for long periods of time and perform physical tasks such as lifting up to fifty (50) pounds up to 30 feet. Proficiency in a range of information technology tools and platforms. Good oral and written communication skills as well as attention to detail Excellent organizational skills and collaborative style required. Superior customer service skills, ability to maintain professionalism at all times under stressful situations |
