In this Document Control position, you will support their Design Support Services (DSS) department with Drawing Librarian tasks. These tasks include checking drawings in and out from our Master Drawings Libraries, performing title block swaps, PDF from CAD creations, extracting drawing metadata, and running scripts and tools to edit drawing packages in bulk. The Drawing Support Team ensures consistency and accuracy in title block metadata for the DSS department. On a daily basis, they use this metadata to populate and manage various external databases that support project teams, technical services, and operations across the enterprise. Their focus is on automation and processes, allowing designers to concentrate on designing while we handle the data. As part of the Drawing Support team, you'll spend most of your time working with tools such as Excel, Aconex, SharePoint, OpenText, and DvTDM. In Excel, proficiency in building efficient formulas is essential. They regularly use VBA macros and Excel formulas to manage files and manipulate data for uploading into the different databases. Additionally, understanding bulk loading and creating bulk load sheets for databases (such as Aconex, OpenText, and DvTDM) is crucial. Quality, efficiency, and consistency are fundamental aspects of this role, especially considering the potentially high volume of drawings we handle each day. Description: The primary function of the Document Control /Specialist is the quality of the data controlled and support to project teams and compliance with Engineering Services. Skills: - Experience with an Electronic Data Management System and other software (such as Oracle + Aconex, OpenText, SharePoint) - *Aconex IS REQUIRED* * Intermediate to expert proficiency in MS Word, Outlook and Excel. * Experience with, and comprehension of, deliverables management (revision control, deliverables registers, transmittals, document registers and workflows. * Experience in implementing document management systems to support an electronic environment. * Excellent organizational/interpersonal skills. Education/Experience: ** 5-7 years direct experience in engineering and vendor document management in the Oil & Gas Industry (Midstream)* * Proven Document Control experience with energy Owner/Operator company, preferably supporting project execution. * Operations experience a plus * Experience working in regulated environment in regard to PHMSA, FERC, DOT, PSM, etc. * Demonstrates understanding of naming schemas, data management standards and data migration. Responsibilities: *This role will be accountable for the implementation of existing document control specifications. *This role will be accountable for tracking Engineering, Contractor and Vendor deliverables throughout the project lifecycle (recording revisions, revision purposes, distribution and transmittal histories). * Process incoming and outgoing correspondence in a timely manner. * Generating and updating each Supplier's and Contractor's Document Register in a timely manner (e.g., incoming, outgoing and squad checking processes) * Ensuring that each applicable metadata field is accurately updated and maintained in each Document Register * Preparing and implementing squad check documentation in accordance with procedure and distribution matrices. * Preparing accurate status reporting based upon the metadata designations and submitting at the determined frequency (per project basis). * Aligning with the Document Control standards and ensuring any deviations due to project-specific needs are controlled and traceable. * Providing back-up document control support as needed on other projects *Experience Level:* Intermediate Level About TEKsystems: We're partners in transformation.
