QUALIFICATIONS, KNOWLEDGE, AND SKILL REQUIREMENTS:

The qualifications and skill requirements for this position include:

  • Minimum of five (5) years of proven work experience in all areas of office administration;
  • Possess proven computer skills, including experience in all Microsoft Office applications;
  • Be proficient and able to operate a variety of office machines;
  • Possess the judgment and ability to interact diplomatically with the public, support staff, and College administrators in a professional, diplomatic, timely, and confidential manner;
  • Possess strong organizational skills;
  • Ability to communicate effectively - both verbally and in writing - with emphasis on effective use of the telephone, including telephone etiquette;
  • Ability to multi-task in a busy work environment and pay close attention to detail with other responsibilities and distractions;
  • Ability to work independently with minimal supervision.
  • The following is preferred:
    • Associate's degree or equivalent.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

The essential job functions and responsibilities for this position include, but are not limited to:

  • Completing all general clerical and office tasks for the Physical Plant Department;
  • Assisting the Director of the Physical Plant in the daily operations of the Physical Plant Department;
  • Completing requisitions and purchase orders for the Physical Plant Department;
  • Accurately and efficiently entering and completing data entry into the IRSC computer system.

SPECIFIC DUTIES AND RESPONSIBILITIES:

The specific duties and responsibilities for this position include but are not limited to:

  • Maintaining the Physical Plant Department master filing system;
  • Ordering supplies for the main campus and construction materials year-round for the smooth operation of the College's daily operations;
  • Maintaining account balances and managing purchase orders;
  • Tracking expenditures and maintaining budget records;
  • Possessing personal skills to interact regularly with off-site centers and all other departments;
  • Acting as liaison with campus vendors;
  • Prioritizing incoming calls for maintenance staff based on knowledge of administrative duties and institutional organization;
  • Fielding and dispatching radio/mobile calls to appropriate field personnel;
  • Completing other duties and responsibilities as assigned.

PHYSICAL REQUIREMENTS:

This position requires an ability to sit, stand, walk, bend, lift, reach up, stoop, and carry items occasionally in excess of twenty-five (25) pounds. It also requires manual dexterity to operate standard office machines, such as, copier, fax, telephone, and other equipment as necessary. IRSC expects its employees to follow proper safety standards while employed by the College.
