Job Summary:

The Operations/Administrative Assistant of the Bay Cove Behavioral Health and Wellness Center is responsible for organizing, coordinating, and monitoring all non-clinical operations of the CCBHC program operated out of the Bay Cove Behavioral Health and Wellness Center. The Operations/Administrative Assistant will provide administrative assistance including triaging calls, assisting Persons, their families and collateral service providers to get answers to questions; and providing direct support to Bay Cove Behavioral Health and Wellness Center staff, including monitoring & coordinating daily team schedules and supporting staff both in the office and in the field. This position contributes to Bay Coves mission by working in a program providing access to services that address the needs of community members most impacted by deleterious social determinants of health.

This is a non-exempt position.

Essential Functions of the Position:




  • With the Project Manager and Project Evaluator's guidance, ensure that all program development plans and activities are executed in keeping with the funding requirements of SAMHSA and in keeping with Bay Cove's values, mission, vision, and strategy for the implementation of the CCBHC program operated out of the Bay Cove Behavioral Health and Wellness Center



  • Ensure organized and complete electronic and paper filing systems by scanning and filing documents to appropriate folders, uploading requested documents



  • Prepare graphs, infographics and other data visualization tools to display program information for funders and designated community partners



  • Maintain patient databases, perform administrative tasks, assisting in grant preparation, performing literature searches and participating with the Project Manager and Project Evaluator in preparation of data and other reports



  • Collaborate with the evaluation team to ensure continuous quality improvement



  • Ensure answers to questions for Persons, families, community sources, and agencies are delivered in an accurate and timely manner



  • Utilize recovery-oriented language and principles in all communication and interactions with persons, colleagues, and collaterals



  • Perform other duties as assigned by supervisor




Job Requirements:




  • At least one year experience providing services to individuals who have mental health and/or substance use challenges; a Bachelor's Degree in Psychology, Social Work, or a related area can be substituted for experience



  • High School diploma or GED required



  • Demonstrated capacity to work collaboratively as a member of a multidisciplinary and cross-functional team, to function as an effective change agent and to negotiate and resolve differences both in a team environment and independently.



  • Ability to interact with and communicate with all contacts with the highest level of respect, clarity, precision and good will.



  • Professional written and oral communications skills.



  • High degree of personal organization, attention to detail, and time management skills.



  • Proficiency in word processing and other computer functions using Windows, Word, and Google Email and Apps.



  • Valid driver's license preferred.



  • Bilingual candidates encouraged to apply, pay differential offered for candidates with fluency in certain essential languages.
