About the Role

The Customer Operations Coordinator role reporting into the Trade & Distribution Manager will be responsible for supporting the day-to-day activities such as customer order processing, channel inventory analysis, shipment scheduling/tracking, and customer account support. The position will work closely with other teams and functions within the company, including vendors and our 3PL provider.

Responsibilities

  • Manage the ordering process from PO creation to product delivery at our Specialty Pharmacy partners by coordinating between our 3PL provider and preferred carrier.
  • Work closely with 3PL customer service team to ensure orders are being processed and shipped in a timely manner.
  • Assist with customer related requests, such as PO tracking, product inquiries, vendor notifications, document requests, account support, etc.
  • Monitor wholesaler inventory levels and coordinate appropriately to ensure that stock levels align with contractual requirements.
  • Provide product availability updates/reports to customers on a weekly basis.
  • Analyze transportation routes and carrier performance to identify cost-saving opportunities and optimize delivery schedules.
  • Support the Direct Accounts Sales Program through account creation/maintenance, order monitoring, PO tracking, and internal reporting.
  • Assist with analyzing Trade channel data and creating insightful reports using data from multiple sources.
  • Audit vendor data for accuracy and escalate discrepancies when necessary.
  • Work with internal teams to ensure that inventory levels and product forecasts align with demand and replenishment strategies
  • Collaborate with external Trade partners to identify improvement opportunities and address operational issues for continuous improvement and efficient problem resolution.

Required Qualification & Skills

  • Bachelor's degree in supply chain management, or equivalent work experience.
  • 2-4+ years of experience in warehouse operations, particularly with 3PLs and/or background in vendor partner management.
  • Strong communication and collaboration skills, with the ability to work effectively across multiple teams and departments.
  • Understanding of basic supply chain management principles, including inventory control, transportation logistics, and distribution networks
  • Ability to prioritize and make decisions in a fast-paced environment.
  • Strong client service orientation and customer service mind-set.
  • Strong analytical skills with the ability to interpret data and provide insights for operational improvements.
  • Proficient with spreadsheets and Microsoft Office products.
